Who We’re Looking For: 

As a key member of the Administration team, the Administrative Assistant will provide expert support, handling complex details and advanced duties, taking the weight off the shoulders of Laborie's leadership team, including the CHRO, CCO, CFO, CTO, COS, EVP International Business, and others. 

  

About the Role: 

  • Coordinate and execute large on and offsite meetings, including setup, teleconference coordination, and preparation of invitations, in collaboration with internal Event Managers when appropriate.

  • Handle travel arrangements and itineraries for domestic and international travel, while also preparing accurate expense reports.

  • Maintain well-organized filing systems, handle confidential information discreetly, and assist in preparing presentations and reports.

  • Manage office supplies, coordinate with caterers for on-site food and beverage needs, schedule equipment maintenance, and handle reception duties.

  • Execute special or continuous research and data analysis tasks, prepare reports and recommendations, and coordinate activities between departments and outside parties.

  

Minimum Qualifications: 

  • 5+ years administrative experience supporting multiple senior level executives

  • High school diploma (or GED equivalent); secretarial certification preferred

  • Advanced Microsoft Office (365 preferred) skills:  Word, Excel, PowerPoint, Outlook

  • Demonstrated professionalism in all aspects of role: written and verbal communications, accuracy and attention to detail, calm demeanor under pressure, meeting deadlines.

  • Strong organizational and time management skills

  • Ability to prioritize, multitask and work with minimal supervision required

  • Flexibility to work overtime as necessary, sometimes without advanced notice
