Position Summary:    
  
The Tax Support Coordinator is an essential team member providing high-level administrative, operational, and client service support within the tax department. This ideal candidate will be proactive, organized, and detail-oriented, capable of managing various tasks, maintaining internal systems, and coordinating across teams. Strong communication and multitasking skills are essential.   
  
Responsibilities:  
  • Oversee document and client database systems; create and manage client records, track job statuses, update systems regularly, and ensure timely cleanup and compliance.  
  • Request missing client documentation and assist with 1040-related documents.  
  • Order and manage catering for meetings, plan and execute group events, organize internal networking meetings, and handle logistics for monthly group meetings.  
  • Oversee meeting logistics, including agenda review, scheduling, room setup, food and drink arrangements, and technical support, and act as the primary event contact. 
  • Prepare and process client engagement letters and POAs, ensuring accuracy and compliance.  
  • Oversee onboarding processes, including task tracking, meeting scheduling, and internship program coordination.  
  • Submit external CPE requests, obtain documentation for internal training, and liaise with KSM Learning for process updates.  
  • Schedule and coordinate internal and external meetings, including booking rooms, virtual links, agendas and logistics.   
  • Travel Coordination: Arrange travel bookings, including flights, accommodations, and transportation.  
  • Submit employee reimbursements and credit card expense reports.  
  • Create, edit, and proofread documents, including Word, Excel, and PowerPoint presentations, agendas, reports, and special projects.  
  • Complete unique tasks or special assignments as requested, demonstrating adaptability and problem-solving skills.  
  • Address team requests, work closely with tax team members, and support various projects and initiatives. 
Qualifications:  
  • 3+ years of administrative or operational experience, preferably within tax, finance, or a professional services firm.  
  • Strong organizational and time-management skills.  
  • Excellent written and verbal communication. 
  • Proficient in Microsoft Office Suite, especially Excel, Teams, and Outlook. 
  • Ability to multitask and manage competing priorities in a fast-paced environment.  
  • Detail-oriented with a focus on accuracy.  
  • Proactive problem-solver with a customer-service mindset.  
  • Ability to handle confidential information with professionalism.  
  • Strong collaboration skills and ability to work across multiple teams.
