Resource Center Specialist

Candidates will have the following responsibilities:

  • Create and revise Word documents applying styles, TOC, or TOA when indicated.
  • Straight type documents into Word, Excel, PowerPoint, etc.
  • Scan and clean documents; clean corrupt documents; scan documents into pdf format.
  • Print documents from CDs, which may require reformatting before printing.
  • Convert documents from Excel to Word and Pdf to Word.
  • Set up and revise PowerPoint presentations.
  • Transcribe documents from tapes (mini or large) and other digital file formats such as .mp3 and .avi.
  • Advise users of technical procedures when they have problems; discuss with users regarding formatting their documents. Troubleshoot software issues over the phone or at the attorney’s desk.
  • Print and insert material into notebooks, add tabs when requested.
  • Compare documents using Work Share, Word Compare or Track Changes.
  • Burn CD/DVDs and preparation of labels.
  • Create CD closing binders that contain hyperlinked indexes and bookmarking PDF’s.
  • Assist Marketing Department in creating materials including Pitch proposals, Practice at a Glance, Face Sheets and Placemats using Adobe InDesign and Photoshop CC.
  • Stay abreast of technology and software changes within the firm to be an “expert” in document preparation; attend all mandatory training classes.
  • Assist administrative and legal staff in other offices as needed.

Coordinator’s responsibilities:

  • Coordinating workflow and setting priorities with the goal of meeting deadlines.
  • Creating and maintaining MS Word styles and macros.
  • Training peers on new software, procedures and applications.
  • Primary point of contact between attorneys and staff.
  • Logging, prioritizing and delegating all Resource Center work.
  • Testing and evaluating all new applicants.
  • Providing help desk support and troubleshooting software and hardware issues.

Secondary duties and responsibilities:

  • Call Messenger Service for Courier pickups.
  • Enter timesheets for lawyers; perform adjustments when needed.
  • Answer telephones before Firm opens and after hours.
  • Locate lawyers for clients before Firm opens and after hours.
  • Open locked lobby doors for clients, lawyers and staff before Firm opens or after hours.
  • Label, sort and stuff mailings for Administrative Departments.
  • Send documents to Copy Center for lawyers after work is completed by Resource Center.
  • Assist lawyers with e-mail and locate documents before Firm opens and after hours.
  • Assist clients to find conference rooms before Firm opens and after hours.

Successful candidates are detail oriented, efficient and have the capacity to work both independently and collaboratively in a fast paced, high volume environment.  Candidates should have advanced knowledge of Windows 7, Microsoft Office 2010, Microsoft Office 365 (including Word, Excel, and PowerPoint), Microsoft Outlook, Best Authority, TOC and TOA. Additionally, candidates must be proficient in iManage or have familiarity with document management systems. Experience or knowledge of graphics programs, such as Adobe Photoshop, Illustrator, InDesign, and Visio is a plus. Candidates are required to have the equivalency of a high school diploma; and must have at least five years’ comparable experience in a Word Processing Center environment. The core hours are Thursday and Friday (5:30 PM to 2:30 AM); Saturday (2:30 PM to 2:30 AM) and Sunday (2:00 PM to 11:00 PM). Availability to work flexible hours and overtime is required.
