Position Overview:

KORE Power is currently seeking a Document Control Specialist. This position will perform data gathering, analysis, create spreadsheets, and provide data analysis and reporting. The successful candidate will develop an electronic system to log, manage, and process all documentation through the document control system; Develop plans and procedures to ensure that all internal and external users properly use the system; Develop written procedures detailing all documentation; Daily management and maintenance of the doc control system; Compile back up information to process invoices, RFI’s, submittals, and drawings.

Duties and Responsibilities:

  • Implement document/data management solutions with a primary focus on document control and records management
  • Operate or administer data/document management applications
  • Process one or more document types through all procedural steps in accordance with well-defined procedures and guidelines
  • Ensure that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
  • Receive, track, and monitor documents using standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required.
  • Enter data and produce reports using other standard office automation or department-specific computer applications.
  • Initiate and reply to routine correspondence related to area of responsibility.
  • Work with other staff members as needed to develop and improve services.
  • Respond to changing technology environment and participate in decision making activities relating to customers' needs.
  • Provide assistance to users in capturing and locating electronic information.
  • Serve as liaison between field personnel and project owner, as needed.
  • Maintain an accurate file system of all construction drawings, RFI’s, submittals and other documentation and ensure that the most current revision is maintained and updated on a regular basis.
  • Responsible for assisting in general administrative tasks such as file conversions, scan, copy, filing, organizing, collating, mailing, and expediting information, as needed.
  • Assist the project team with setup and maintenance of the site status database, assuring timely status as each part progresses through the construction process.
  • Work within precise limits and standards of accuracy.

Skills and Qualifications:

  • Bachelor’s Degree or equivalent experience in Document Controls/Records Management and electronic data management systems.
  • Experience working in high-tech environment, or engineering industries. Data analytics and SharePoint experience a plus.
  • Solid communication and presentation skills

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to lift and/or move up to 50 pounds. The job requires excellent vision (close, distance, color, peripheral, depth perception, and ability to adjust focus) and coordination.
