Program Supervisor - Child and Family Department

Hiring Range: $67,641 - $84,593.60 annually

General Summary of Duties:  The Program Supervisor for the Child and Family Department provides administrative and clinical oversight and supervision primarily to school program teams. The administrative responsibilities include oversight over reporting, documentation, compliance, and performance improvement. The clinical responsibilities include providing clinical supervision across child and family teams when leadership coverage is needed and supporting clinical development and guidance for the child and family department.

 

Supervisory Responsibilities: School Programs administrative support position(s)

 

Major Responsibilities/Tasks:

  1. Assist in hiring; train, coach, develop and evaluate qualified staff.  Update job descriptions as necessary and monitor required trainings.
  2. Consult with the School Programs Director on a regular and on-going basis regarding all aspects of the program, including administrative procedures and reporting guidelines.
  3. Provide oversight to ensure the vision, mission, and values of Madrona Day Treatment and all other school programs are upheld by all staff in the program. 
  4. Support the timely completion of mandatory administrative tasks for the program, including IEP timeliness and compliance, understanding of the most up-to-date school district and NPA regulatory requirements, contract compliance, attendance tracking, grade reporting monitoring, as well as court paperwork and other formal documents that impact a student’s school participation.
  5. Support the quality assurance team in monitoring incident reports completion, tracking trends in incidents, and working to support ways to improve the safety and quality of services provided.
  6. Track kitchen needs and compliance with food handling and safety regulations.
  7. Monitor the student medication policy for the program. 
  8. Provide strengths-based administrative supervision and coaching to staff in order to maximize their strengths, and enhance their documentation skills and effectiveness in their roles. Manage the operations and work flows for staff to work effectively in the electronic health record along with agency and NPA requirements. At times, clinical supervision will be required from the Program Supervisor when leadership coverage is needed.
  9. Monitor the data entered into the progress monitoring platforms used for school programs and maintain accurate and up to date data collection per agency policies, WAC requirements and NPA obligations.  Assure client files meet agency, WAC and NPA requirements. 
  10. Support the coordination of staff coverage across school programs.
  11. Work as an integral member of the KMHS supervisory team and represent KMHS positively in the community. Develop a positive working relationship with other child serving agencies for purposes of promotion, networking and educating the public about KMHS School Program. Provide consultation, education and training as needed to KMHS staff, school personnel and other agencies or individuals to support positive program outcomes.
  12. Coverage for clinical or administrative leadership across child and family teams when additional leadership support is necessary to meet the core functions of the team.

Minimum Qualifications:

EDUCATION: Bachelor’s Degree in Business, Psychology, social services, or behavioral health.

EXPERIENCE: Specialist (minimum 5 years of job-related experience)

Possess and maintain a valid driver's license with an acceptable motor vehicle report and reliable, insured transportation

 

Preferred Qualifications:

EXPERIENCE: Experience working with special education programming or intensive day treatment. Experience in monitoring compliance, tracking budgets, data collection and reporting, and progress monitoring. Administrative and program development experience.

 

Performance Requirements:

KNOWLEDGE:

  1. Maintain a working knowledge of current trends in community mental health and the public education system.
  2. Familiarity with EHR and application in community based settings.
  3. Maintain a working knowledge of public school, behavioral health and NPA requirements.

 

SKILLS:

  1. Skill in establishing and maintaining effective working relationships with other employees, clients, organizations, and the public.
  2. Attention to detail and experience managing complex programming (audits, fidelity models, etc)
  3. Communication - Communicates clearly and concisely.
  4. Computer skills - The ability to operate a personal computer, fax machine, printer, and copier proficiently.

 

Abilities:

  1. Demonstrated ability to work cooperatively and collaboratively as a team member.
  2. Ability to support staff to develop new skills and maintain improvements.
  3. Able to assist in building positive working relationships with staff of all agency departments.
  4. Work in-office with a team. This role is not a remote position.
  5. Routine driving between locations, at times with clients in the vehicle, will be required.

 

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

 

Work Environment: Frequent mobility and/or sitting required for extended periods.

 

Mental/Physical Requirements: While performing the job duties, the employee is required to walk, sit, use hands and fingers, reach with arms, talk, or listen.
