Position Summary
The Marketing Operations Manager plays a critical role in enabling effective, data-informed student recruitment and enrollment efforts across a 23-school TK–12 network. This role supports brand awareness, student application generation, and student matriculation by partnering closely with Regional Operations, Communications, Field Recruitment and other teams to operationalize campaigns, ensure data quality, and surface insights that drive continuous improvement and stronger enrollment outcomes.

 

The ideal candidate is a highly organized, collaborative, and data-driven operator with experience building and scaling multi-channel marketing operations. They bring strong expertise in marketing performance reporting, campaign workflow management, and cross-functional partnership to ensure alignment, efficiency, and impact.

This role will report to the Director of Student Recruitment & Enrollment. This is a hybrid role with an expectation of at least 3 days per week onsite at our Regional Support Office in Oakland (BART accessible) as well as occasional travel to our schools and local communities, as needed.

 

Essential Functions and Responsibilities

 

Marketing Systems & Infrastructure: 
  • Own and optimize the marketing technology stack supporting student recruitment (ex., CRM, project management software, and enrollment management platforms).
  • Maintain progress monitoring, data quality, field definitions, workflows, and system documentation.
  • Serve as the primary point of contact for system configuration, troubleshooting, and vendor coordination.
  • Identify opportunities to streamline manual processes and reduce operational burden on frontline teams.

 

Enrollment Funnel & Lead Operations: 
  • Design, document, and continuously improve lead management processes across the enrollment funnel, including how this interplays with our enrollment management platforms.
  • Strategically set the standard for our lead stages, routing rules, and handoffs.
  • Monitor lead volume, conversion rates, response times, and follow-up consistency.
  • Partner with Field Recruitment and Regional Operations teams to ensure systems and processes support equitable, timely family engagement.

 

Reporting & Analytics: 
  • Develop and maintain dashboards and regular reporting on recruitment performance (ex. inquiries, applications, enrollment yield, and cost per lead).
  • Translate data into clear, actionable insights for stakeholders.
  • Support goal setting, forecasting, and pacing against enrollment targets.
  • Ensure data integrity and consistent definitions across reports.

 

Campaign Operations Support: 
  • Operationalize recruitment campaigns by:
    • Setting up tracking, workflows, and lead capture mechanisms.
    • Ensuring accurate attribution across digital and field channels.
  • Partner with the Communications team on collateral production and channel coordination.
  • Support testing and optimization efforts (ex. messaging, channels, timing) through structured experimentation.

Required Education
  • Bachelor's Degree or equivalent experience.

 

Required Experience and Qualifications
  • 3-5 years of professional experience in a marketing operations or related role.
  • Hands-on experience managing and optimizing a CRM and/or marketing automation platform (ex. HubSpot), including lead workflows and funnel reporting.
  • Strong analytical skills and comfort working with data, dashboards, and performance metrics.
  • Proven ability to document processes, establish standard operating procedures, and improve operational efficiency.
  • High attention to detail with the ability to zoom out and apply a strategic lens.
  • Excellent written and verbal communication skills, with the ability to explain systems and data to diverse audiences.
  • Strong project management skills, including prioritization and managing competing deadlines.
  • Demonstrated ability to build effective working relationships across teams and levels.
  • Results-oriented and service-oriented mindset.

Preferred Experience and Qualifications
  • Experience in one or more of the following: TK–12 education, nonprofit organizations, student recruitment and enrollment operations, and/or multi-site organizations.
  • Familiarity with project management and enrollment management platforms (ex., Asana, SchoolMint).
  • Familiarity with digital acquisition channels (paid search, paid social, email, and SMS) and their connection to tracking and attribution.
  • Experience collaborating with agencies, communications, or creative teams.
  • Proficiency with Google Workspace, data visualization tools, and video conferencing platforms.
  • Fluency in spoken and written Spanish.

 

Physical, Mental and Environmental Demands

 

Physical: Ability to navigate office and school campuses, and hold meetings in different spaces. Traditionally, much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment up to 20 lbs. Physical agility to move self in various positions in order to execute duties effectively, which may include kneeling, walking, pushing/pulling, squatting, twisting, turning, bending, stooping, and reaching overhead.

 

Mental: Stress of deadlines and normal work standards, ability to analyze problems and generate alternatives, work with interruptions, concentrate for long periods of time, read, calculate, perform routine math problems, memorize and recall objects and people.

 

Environmental: Office environment subject to constant interruptions and distractions. Occasional school environment and travel of up to 15%. KIPP adheres to health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations.

 

Classification

This is a full-time, exempt position based on a full year calendar cycle, based out of our Regional Support Office in Oakland, CA, with occasional travel to schools and districts.

 

This is a hybrid role with the expectation that three days per week be spent onsite at our Regional Support Office in Oakland.

 

Must possess a valid California driver’s license and have access to a reliable vehicle for work-related travel.

Compensation
KIPP Northern California is dedicated to you and your family's well-being! We offer a competitive salary as well as a comprehensive benefits package including medical, dental, vision, and transportation benefits.
We benchmark annually against comparably-sized non-profit organizations in the regions where we operate, to offer competitive salaries. The salary range for this position is between $83,000 and $104,000. Most candidates would be compensated at $89,000.
