Position Summary

The ASES Coordinator manages the program and compliance aspects of the After School Education and Safety (ASES) program for an assigned campus. This position reports to the Principal and will work closely with school staff and external vendors to run an effective after school program.

Preferred Qualifications
Experience:

  • 3+ years of experience working with and managing elementary and/or middle school students
  • At least one year experience working with an afterschool program is preferred
  • Experience with program management 

Education:

  • High school diploma required and some college experience preferred

  • Bilingual in English, Spanish, and Arabic preferred
  • Ability to oversee and manage projects regarding ASES activities 

Essential Functions and Responsibilities (in-person and virtually)

Operational Responsibilities

  • Assist with managing the school’s ASES finances, including assisting with ASES school fees, deposits, cash management, and purchasing \
  • Support with furnishing and decorating the ASES spaces (i.e. classrooms, hallways, bulletin boards, etc) to model school values and culture
  • Support with implementing school safety plans and procedures
  • Collaborate with the Regional Operations and Assessment Manager at the KIPP Public Schools Northern California  to ensure compliance with federal regulations that govern ASES programming 
  • Implement KIPP’s health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations  
  • Oversee all ASES communication to families and staff regarding program schedule and events 

Programming 

  • Build strong relationships with students, families, staff and vendors through consistent communication and follow-up
  • Manage the after school program for grades K-8 on Monday through Friday from 10:30 AM – 6:30 PM 
  • Create and implement attendance-taking procedures and manage all documentation associated with student attendance 
  • Develop system for managing ASES documents: distribution, collection, and storage of registration forms and other paperwork
  • Manage student behavior during after school and follow up using appropriate school policies and procedures
  • Manage relationship and coordination with any external vendors that provide after school programming (e.g. YMCA, Headstand)
  • Oversee study hall portion of the after school program

Training and Support

  • Be familiar with compliance requirements and incorporate them into the programming
  • Train ASES staff on protocols and procedures
  • Attend weekly meeting with DSO and monthly Leadership program updates 
  • Assist with other tasks and projects as assigned 

Physical, Mental and Environmental Demands 

Physical: Ability to navigate office and school campuses, and hold meetings in different spaces. Traditionally, much of the day involves  constant movement. Ability to access and utilize technology. Occasional lifting/carrying of equipment 1-30 lbs. 

Mental: Stress of deadlines and normal work standards, ability to analyze problems and generate alternatives, work with interruptions, concentrate for long periods of time, read, calculate, perform routine math problems, memorize and recall objects and people.

Environmental: Office and/or classroom environment subject to constant interruptions and distractions. Occasional classroom/school environment and travel. In an emergency context (e.g., pandemic) work may be conducted virtually fully or partially for extended periods of time or longer, and the expectation is that the individual will establish a productive, remote work environment (e.g., ability to stay connected through different technology means). It may require remote work as current public health guidelines warrant.

Classification
Full-time, exempt position based on school calendar and time-off policy.
