Position Overview
The ASES Coordinator manages the program and compliance aspects of the After School Education and Safety (ASES) program for KIPP Valiant Community Prep. This position reports to the Director of School Operations and will work closely with school staff and external vendors to run an effective after school program.

Essential Functions and Responsibilities

Manage KIPP Valiant Community Prep’s After School Program 

  • Work Closely with our current program provider (YMCA) to ensure correct attendance-taking procedures and manage all documentation associated with student attendance
  • Distribute, collect and manage all communications and paperwork to parents regarding ASES, including registration forms and other letters
  • Manage relationship and coordination with any external vendors that provide after school programming 
  • Oversee homework club portion of the after school program
  • Collaborate with the Regional Operations Manager at the KIPP Public Schools Regional Support Office to ensure compliance with ASES regulations
  • Assist with operational related tasks
  • Manage all vendors and Valiant after school staff
  • Manage all student behavior during after school and follow up using appropriate school policies and procedures
  • Attend trainings and team meetings in support of managing a successful program

Support Student Food Services & Recess

  • Support the Operations team in managing breakfast, lunch as needed  and is responsible for daily snack after school
  • Supervise recess to ensure student safety

Co-Manage front office and incoming visitors with Operations Team

  • Co-own creation of a welcoming, organized front office that reflects school values and culture
  • Serve as the point person for first aid and student medication
  • Assist with managing the school’s finances, including assisting with school fees, deposits, cash management, and purchasing

Support school leadership with creating a joyful learning environment

  • Support with furnishing and decorating the facilities to model school values and culture
  • Support with implementing school safety plans and procedures
  • Assist with on-campus and off-campus school events, including student field trips
  • Assist with other tasks and projects as assigned
  • Other Duties as assigned

Duties and Responsibilities (in-person and virtually)

  • Manage the after school program on Monday, Tuesday, Wednesday, Thursday, Friday from 2:00 PM – 6:00 PM

  • Manage relationship and coordination with any external vendors that provide after school programming ( YMCA)
  • Oversee study hall portion of the after school program 
  • Collaborate with the Regional Operations and Assessment Manager at the KIPP Public Schools Northern California  Regional Support Office to ensure compliance with ASES regulations
  • Adhere to KIPP’s health and safety guidelines as outlined by the CDC, CDE, and public health agencies’ recommendations  

Physical, Mental and Environmental Demands (requirement worksheet)

Physical: 
Ability to navigate office and school campuses, and hold meetings in different spaces. Traditionally, much of the day involves sitting. Ability to access and utilize technology. Occasional lifting/carrying of equipment 1-20 lbs.

Mental:  
Stress of deadlines and normal work standards, ability to analyze problems and generate alternatives, work with interruptions, concentrate for long periods of time, read, calculate, perform routine math problems, memorize and recall objects and people.

Environmental:
Office and/or classroom environment subject to constant interruptions and distractions.  Occasional classroom/school environment and travel. In emergency context (e.g., pandemic) work may be conducted virtually fully or partially for extended periods of time or longer, and the expectation is that the individual will establish a productive, remote work environment (e.g., ability to stay connected through different technology means). It may require remote work as current public health guidelines warrant.

Classification
Part time, non-exempt. Approximately 20 hours/week, Monday, Tuesday, Wednesday, Thursday, and Friday 2:00PM and 6:00PM.

Compensation 
This is a part-time (about 20 hours per week), non-exempt hourly position. The hourly rate is $25.00 an hour. The candidate must be able to meet all I-9 requirements
