Role Description
The Property Maintenance Coordinator schedules and coordinates the preventative maintenance program for all the company’s owned and leased properties. The Property Maintenance Coordinator works closely with Kal Tire store managers, trade contractors, and others who are involved in the repairs and maintenance process. This person is the main point of contact and first response for preventative maintenance work and service calls.
Responsibilities
Building Services Administration
- Sort & Dispatch building service tickets to appropriate people in RE&C and vendors.
- Dispatch service requests from all store locations: Issue POs for the service. Track and follow up with the contractor and the store. Close service ticket. Process invoice. Update the master Preventative Maintenance Log.
- Obtain, track & file all Certificate of Insurance for all trades.
- Obtain & track updated contractor list with a copy of WCB or WSIB clearance letter.
- Update and manage the master contractor list, continually updating as required.
- Provide job coverage for the Vernon Office Maintenance Coordinator such as program access cards and other tasks required.
Document & File Management
- Maintain and update the maintenance management system for tracking preventative maintenance work, and maintenance history of all Kal Tire facilities.
- Update our internal files with relevant files.
Managing the Preventative Maintenance Program (PMP)
- Developing and implementing preventative maintenance schedules for each Kal Tire location, based on best practices in the industry with an emphasis on planning/scheduling & programming preventative maintenance activities.
- Understands the tenants’ responsibilities of each lease and ensures that the preventative maintenance program includes the lease requirements.
- Support the Property Manager with accurate records of space conditions including roof, HVAC, fire & safety, vac services and overhead doors.
- Reviews, code, and approve invoices for payment on completion of coordinated preventative maintenance work and update Maintenance Log as work is completed.
- Coordinate PM agreements with all trades for each store manager.
- Review and renew expired agreements with contractors and store locations.
- Coordinates and monitors contractor activities for preventative maintenance and repair work (with assistance from onsite team members) to ensure quality standards are met.
- Send out PM repair recommendation to stores for review and consideration (under $3,000)
- Support the Property Manager in setting up new store locations with the Preventative Maintenance Program (PMP) process.
- Update locations with existing PMP set up.
- Update processes and memos as required.
Job Requirements
- Minimum 4 years’ experience in general facility maintenance or related field.
- Able to effectively comprehend and communicate detailed instructions in English, both orally and in writing.
- A good communicator, with a track record of well-organized methodical work patterns.
- A good understanding of property maintenance, methodologies and processes.
- Strong working knowledge of Microsoft computer software (e.g. Excel, Word, etc.) and Outlook.
- Basic understanding of electrical, HVAC, plumbing and general maintenance.
- A good understanding of lease agreements and lease terminology.
- Able to deal with people including trade contractors and store team members sensitively, tactfully, diplomatically, and professionally at all times.
- Highly motivated and able to work independently.
- Able to multi-task and establish priorities and work with minimal supervision.
- High level of sound and independent judgment and reasoning
- Knowledge of local, provincial and federal workplace compliance regulations, ordinances and legislation
- Demonstrated ability to exercise necessary cost control measures.
- Strong attention to detail.
- It is essential that the Property Maintenance Coordinator understands the business operation and is sensitive to business interruptions and seasonal cycles at the store locations.
- Post Secondary education in applicable field or equivalent combination of education and experience.
Special Requirements
- Valid Class 5 Drivers License
- Leadable, coachable and resourceful
