Purchasing Administrator - Inbounder/Receiver

THE ROLE

The Inbounder – Receiver is responsible for entering shipping information to advise stakeholders of when product is expected to arrive, and for receiving the inventory into Kal Tire’s inventory management system.

KEY COMPONENTS OF THE ROLE INCLUDE

Inventory Receives

  • Prepare and set up inbounds based on information received from suppliers and/or warehouses.  Ensure all ASN’s are inbounded in a timely manner, and that all errors for ASN’s are resolved with suppliers.
  • Receive inventory from multiple suppliers using correct price dates and allocating to correct locations if necessary.  Pricing is critical.
  • Account for overages and shortages, and follow up with suppliers accordingly.
  • Reconcile PO’s to single or multiple receives.  Account for old PO’s and make any corrections if necessary with buyers.
  • Adjust inventory if necessary and reconcile back to PeopleSoft and/or invoices.

Pricing

  • Document price discrepancies and ensure they are handled in a timely manner.
  • Keep apprised of currency changes and supplier price changes that could affect the receive price.
  • Reconcile price corrections accounts and over / short accounts.  Assist  AP and data administrators with various other pricing issues.

Other Duties

  • Match supplier invoices to receive cost reports. File received check reports, BOL’s and other shipping documents.  Ensure invoice approval is timely and in line with payment terms.
  • Document procedures and maintain documentation.
  • Liaise with WHS managers, VOC and buyers as it pertains to receiving on a regular basis.
  • Assist with coding and reconciling important documents.
  • Assist with virtual warehouse rebilling.

KNOWLEDGE, SKILLS & ABILITIES

  • Minimum 2 years experience in office administration.
  • General Accounting knowledge.
  • Computer literacy, including working skills of Excel and e-mail.
  • Multi-tasking and organizational skills.
  • Time management skills.

 EDUCATION

  • High School diploma or GED.

 Special Requirements

  • Occasional overtime required.
