Role Description

 

The Mining Account Coordinator (MAC) is responsible for ensuring remote support, profitable sales growth and high levels of customer satisfaction for the assigned mine customers. Key responsibilities of this role include supporting the MTG Regional Sales Manager, Kal Tire stores and the customer or Kal Tire onsite tire service staff through the various tire related product and service needs of each site. MAC is assigned multiple mine sites as part of their complete portfolio.

 

Due to the unique nature of mines, the support needs are quite different from our field service commercial customers. Mining fleets typically operate in harsh environments, remote locations and work twenty-four seven shifts. Site tire services may be provided by the Kal Tire, or they may be completed with customer self-service but in either case equipment down time is critical and Kal Tire must respond quickly and ensure suitable products are routed in the most efficient manner possible. MAC’s role is uniquely positioned to provide industry expertise, develop deeper account relationships, and deliver a level of service that exceeds that available through any other supply channels.

 

This role will be responsible for working closely with the MTG Regional Sales Manager ensuring customer commitments are fulfilled and will be counted on to identify strategies within each mining site to improve service, reduce transaction friction, and create a loyalty that provides a long term mutually beneficial relationship. MAC supports consistent, profitable growth in revenue through planning and collaboration with the retail team members, forecasting and planning for seasonal and long life cycle product sales, and promoting the full spectrum of Kal Tire’s product and service offering. This role ensures that Kal Tire’s internal team at the various service and store locations understand the customer’s needs, are living up to customer commitments, delivering ongoing value and behaving in ways that align with the Kal Tire AIMS.

 

Core Responsibilities

 

Customer Quoting, Ordering and Shipping Co-ordination

  • Be the front-line support for each mining site. Expect that each site will have requirements and targets for ensuring a fast turnaround on order requests (typical goal is for response turnaround in under 1 business day).
  • Prepare and deliver quotes based on customer needs and requests. Must develop a strong understanding of products, applications and equipment.
  • Work with customers on Purchase Orders.
  • Create Work Orders, track WIP and prioritization.
  • Place orders in TSS order system. Includes tracking order and backorder tracking.
  • Communication with the Order Fulfillment team.
  • Create Packing Slips with accurate customer, order and delivery information.
  • Provide updates on delivery status or order status changes.
  • Support the Kal Tire supply store in processes and workflows to ensure strong communication order communication.

 

Administration Responsibilities

  • Understand and document the billing process for each mining site including:
    • Customer-side processes for Accounts Receivable, Accounts Payable, purchasing
  • Develop and maintain strong, collaborative relationships with key mining site staff. Maintain and keep our customer database up to date.
  • Work closely with Kal Tire admin team on Accounts Receivable and Accounts Payable processes.
  • Maintain system price list.
  • Assist with resolving issues on any invoice disputes, shipping documents etc.
  • Collaborate with key store staff on orders for mining sites.
  • Maintain supplier contacts. 

 

Sales Forecasting & Planning

  • Support improved product supply through analyzing and supporting site inventory recommendations.
  • Plan and justify orders for seasonal and long-life cycle product supply.
  • Work with key suppliers to support annual sales and supply planning.

 

Team Contribution

  • Complete tasks and milestones that are outlined in individual operational plans per mining site.
  • Collaborate closely with Regional Sales Manager who will own:
    • Mine site process knowledge
    • Industry and supplier contacts
    • Product knowledge per site, Kal Tire Service knowledge
    • Developing KPI per site
    • Forecasting
    • Development of each site price list and fleet product catalog
  • Collaborate closely with Order Fulfillment Group at each Kal Tire store who will own:
    • Holding and releasing critical inventory
    • Managing yard space and equipment
    • Shipping equipment materials
    • Ensuring shipping and receiving of goods
    • Tire tech P&D
    • Shipping documents process (POD) and coordinating with Inside Sales
  • Conducts business according to the Kal Tire AIMS.

 

Work Experience

  • 3 years' experience working in a similar sales and support role for mining or industrial customers, or at least 5 years account management or inside sales support in related industries.

 

Knowledge, Skills and Abilities

  • Ability to maintain fast responsiveness to customer inquiries, stay on top of ongoing issues and ensure complete issue resolution.
  • Ability to plan and prioritize activities
  • Knowledge of mining and mining operations.
  • Tire industry related knowledge.
  • Able to build and maintain lasting relationships with corporate departments, key business partners, and customers.

 

Education

  • Post secondary education is preferred or equivalent experience.

 

Special Requirements

  • Preferred experience in mining operations.
  • Besides English, additional language would be ideal (French).
  • Valid driver’s license.
  • Ability to travel when required, which may include air travel and several days at stores or sites.
