Proposal Specialist
KAI Partners, Inc. (KAIP) is currently seeking a Proposal Specialist. Proposal Specialists work closely with the Proposal Development Manager and staff to identify proposal request requirements, assist in proposal process support, participate in sourcing events (including RFPs), and create supporting documents and reports. This role will also help to meet the staffing needs for proposal development.
 
Responsibilities  
  • Conduct preliminary proposal reviews, evaluate criteria, and assess company suitability.
  • Develop bid plans and schedules, participating in all phases of the response process, including content preparation, revision, and submission.
  • Review and analyze resumes against quals for best candidate submissions.
  • Collaborate with internal teams (sales, solution engineering, security, legal, compliance, and recruiting) and responding partners to gather inputs and ensure alignment with project requirements.
  • Monitor bid opportunities in relevant portals, ensuring timely submission of applicable forms and maintaining awareness of amendments or modifications.
  • Write, edit, and format proposal content (technical, functional, and general), integrating technical and non-technical materials such as resumes, cover letters, and company profiles to meet client specifications.
  • Develop proposal win themes, executive summaries, and other key narratives, tailoring materials to client needs professionally and compellingly.
  • Create and manage a centralized repository of boilerplate content and complete responses in multiple labor categories.
  • Maintain proposal records, track proposal awards and losses, and ensure compliance with operating standards.
  • Own and oversee bid-related tasks, including calendaring, content library updates, document creation, and setup of proposal management tools.
  • Plan and coordinate proposal schedules, ensuring adherence to submission deadlines and compliance with requirements.
  • Build and maintain relationships with cross-functional teams, stakeholders, and state and federal small business enterprise advocates to drive collaboration and business awareness.
  • Research, write, and organize proposal information with clarity and credibility while adhering to project and client requirements.
  • Record and submit cyclically required contract vehicle reporting and assist in follow-up with response team participants.
  • Share best practices and develop process improvements to enhance team efficiency and quality of deliverables.
  • Scribe meetings and maintain a database of client contact information and references.
  • Perform other related duties as assigned.

  • Exceptional written and verbal communication, with the ability to articulate complex technical concepts clearly.

  • Skilled in handling multiple projects simultaneously and meeting tight deadlines.
  • Ability to manage complex processes, integrate feedback, and achieve objectives efficiently.
  • Ability to translate client requirements into compelling proposal strategies.
  • Comfortable working in fast-paced environments with shifting priorities while maintaining high-quality standards.
  • Ability to manage priorities and meet task assignment deadlines.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite (Docs, Sheets, Chat). 
Work/Education Experience  
 
  • Bachelor's degree required.
  • Minimum of 3+ years in proposal development, bid management, or related roles.
  • 3+ years of experience supporting government organization responses within the technology consulting industry.
  • 3+ years of experience responding to government solicitations under direct and indirect contracting models.
 
Compensation Range: $78,000 - $96,700
 
The salary range for this role may vary depending on the specific geographic location where this position is ultimately filled. Several factors, including but not limited to a candidate's experience, education, skills, and certifications, pay equity, and organizational needs, are considered when determining the posted salary range. In addition, eligible roles also qualify for a comprehensive benefits package.
