QA COA CLERK
Description
Primary Duties:
For each trim load shipped out, Box cooler will send a COA Request form. Each form will be verified on Order Management for load and PO numbers, as well as type and number of combos shipped. Randomly additional checks will be made to verify combo numbers and shipping dates, as each form from box cooler is filled out by hand and occasionally there are mistakes. Each list is then compared to our QA Pre-shipment review for combos to verify that each combo was tested by our QA personnel and had a negative result. After everything has been confirmed, the information is entered into a Raw Materials Notification Document, printed out, reviewed for accuracy, signed and dated. It is then faxed or emailed or both based on customer preference. Along with this responsibility is the maintenance of the Customer Contact information list, it must be kept up to date of all customers that we sell trim to, with their contact information and preferences noted. Upkeep of our plant reference sheet for Cookers, those plants that have letters on file with corporate, and if they want any documentation or not. Most days the QA will need to consult Order Management to know what loads to expect to ship that day, so that they can check in with box cooler and get the paperwork needed before the customer receives the load, as many of our customers will not unload the shipment until they have the COA. They also occasionally will need to make up RMND’s for Offal products sent to select customers. Often includes talking to customers when there are problems, listening to complaints and concerns, and completing needed documentation in a timely manner to reduce claims. Tracking of what combos were shipped on which loads and keeping records of who received which coa when is also required. The time needed for these tasks varies from day to day. This is based on how many loads are shipped on a given day as well as what time they are shipped/loaded and when box cooler sends the documentation.
Assisting with preparing for Third Party Audits by working with management team within the plant as well as corporate, to help organize, trouble shoot, and fix problems. This varies by what audits are happening in the near future and how closely we are currently aligned with their requirements. For example the preparation for our plants BRC audit was much more time consuming for preparation than the Mars Pet Food audit of rendering.
Possible Additional Duties:
Helping to cover when the Food Safety Clerk is not here- this includes CCP reviews, record reviews, paperwork changes and copies, document control, etc.
Creation of documents for new programs and making changes to documents when needed.
Assisting in the Harvest Monitoring Program as needed.
Other tasks as assigned by Management team.
