Administrative Specialist
RESPONSIBILITIES:
- Provides executive and administrative support which includes but is not limited to; coordination of daily, monthly, and quarterly business reviews, scheduling, calendar management, travel, reconciliation of business expenses, vacation accruals and approvals, team member and/or customer event planning, team member onboarding, and other business-related ad hoc requests.
- This role will uniquely and specifically serve as secondary to the JBS Administrative Manager for additional executive support to the CEO, with potential need to support other JBS units and/or divisions.
- Provides administrative support through ad hoc research, data gathering, report preparation, presentation consolidation, and handling information of various sensitivity levels and impact to the business.
- Responsible for plant tour requests and conference room approvals; ordering department supplies and resources, requesting checks, issuing payments, and reconciling company purchases.
- Is involved in the management of international and domestic company jet scheduling.
- Serves as point of contact for new employee onboarding processes.
- Ensures all equipment is ordered and delivered prior to start of new hire start date.
- Ensures access requests are submitted.
- Create and maintain org units for the executive team, department, and managers.
- Monthly updates and distribution to managers.
- Maintains emergency contact list for applicable team members.
- Maintains the corporate company vehicle log, ensuring all required maintenance and compliance standards are met.
- Assist with planning and implementation of the company's performance management cycle.
- Other duties as assigned.
QUALIFICATIONS:
- High School Diploma or GED required.
- Minimum of two (2) years or more previous experience as an executive or administrative assistant in a dynamic and fast-paced environment. Previous JBS experience preferred.
- Must be able to report to the office Monday – Friday for a standard 40+ hour workweek.
- Must be able to be available as needed during non-standard business hours and weekends.
- Demonstrates a high level of integrity.
- Must be able to handle confidential information in professional and discretionary manner.
- Skilled in MS Office Suite with an emphasis on PowerPoint, Excel, Word, Outlook, as well as Qlikview.
- Able to navigate various technologies and systems to achieve standard business functions.
- Demonstrates attention to detail and presents strong organizational and prioritization skills.
- Presents verbal and written communication skills in a professional manner.
- Has job-related experience in multi-tasking projects and initiatives to positive outcomes.
- Able to effectively and calmly adapt to change.
- Can perform the functions of the job with or without a reasonable accommodation
- As a salaried position with the company, you may be required to travel at some point to other facilities, to attend Company events, or as a representative of the Company in other situations. The applicant who fills this position will be eligible for the following compensation and benefits:
- Benefits: Vision, Medical, and Dental coverage begin after 60 days of employment;
- Paid Time Off: sick leave, vacation, and 6 company observed holidays;
- 401(k): company match begins after the first year of service and follows the company vesting schedule;
- Base salary range of $60,000 - $68,000;
- Incentive Pay: This position is eligible to participate in the Company’s annual bonus plan, the amount of bonus varies and is subject to the standard terms and conditions of the incentive program; and
