We are seeking a detail-oriented and customer-focused Customer Service Representative to join our team. In this role, you will serve as the primary point of contact for assigned customer accounts, ensuring accurate order processing, timely communication, and exceptional customer service. The ideal candidate will thrive in a fast-paced environment, work collaboratively across multiple departments, and maintain a strong commitment to customer satisfaction.
Essential Duties and Responsibilities
- Process and manage customer orders daily while maintaining a high level of accuracy and responsiveness.
- Utilize practical and critical thinking skills to effectively prioritize tasks and resolve issues in a fast-paced, customer-focused environment.
- Maintain detailed and current account procedures for assigned customers.
- Develop and maintain knowledge of customer profiles, including products ordered, ordering patterns, pricing, shipping requirements, and contract terms.
- Communicate account status and customer updates with Sales personnel to ensure alignment and customer satisfaction.
- Evaluate and troubleshoot production, inventory, and transportation issues affecting customer orders.
- Confirm pricing and acknowledge customer orders within 24 hours of receipt.
- Verify customer pricing, contract terms, and invoicing accuracy.
- Maintain customer demand forecasts by updating estimates with actual purchase orders and collaborating with the Sales Manager regarding product availability.
- Coordinate with Credit and Accounting departments to resolve invoicing discrepancies and process credits, debits, and rebills as needed.
- Report customer feedback, complaints, and signs of dissatisfaction to appropriate management, Sales, and Customer Relations teams.
- Coordinate product availability and order status among Warehouse, Transportation, Inventory Control, Sales, Marketing, Accounting, and customers.
- Promote a professional and positive image of the company in all customer interactions.
- Travel as required.
- Provide support outside of normal business hours when needed.
What You’ll Need
- Education: Associate's Degree in Business, Communications, or a related field preferred. Equivalent relevant experience may be considered in lieu of degree requirements.
- Experience: 1 or more years of experience in a customer service-related role required. Experience in a manufacturing, food production, distribution, or logistics environment is preferred.
- Skills: Exceptional practical and critical thinking skills, Strong customer service and problem-solving abilities, Professional telephone and customer communication skills, Ability to work effectively in a fast-paced environment with changing priorities, Strong attention to detail and organizational skills, Positive attitude with the ability to manage multiple tasks simultaneously, Working knowledge of SAP preferred, Proficiency in Microsoft Excel and Microsoft Outlook, Ability to work independently and collaboratively within a team environment.
