POSITION SUMMARY:
The HR Specialist, Operations plays a vital role in supporting the Human Resources team by ensuring accurate and timely data entry into HR systems, maintaining personnel records, and delivering exceptional service to employees and internal stakeholders. This position is responsible for onboarding coordination, HRIS data management, workers’ compensation administration, HR document control, and general operational support across multiple HR functions.
ESSENTIAL FUNCTIONS/DUTIES: 
  • With excellent customer service accurately answers all communication to HR Direct Service Center within 1 to 24 hours, researching when necessary.
  • Completes new hire entry and updates in HRIS (Ultimate Software/UKG Pro) according to established procedures.
  • Audits new hire records for accuracy and completeness, ensuring compliance with internal policies and regulatory requirements; follows up on discrepancies and missing documentation.
  • Meets with new hires from designated companies or departments on their first day to verify and process I-9 documentation, review onboarding paperwork, and explain benefits options, demonstrating a comprehensive understanding of our benefits package.
  • Maintains accurate and confidential electronic and physical personnel files for Human Resources and Payroll.
  • Creates and files onboarding, transfer, and termination documentation following established protocols.
  • Coordinates onboarding processes, including pre-employment testing, document collection, and system updates.
  • Administers the workers’ compensation process per company protocols and serves as a liaison with injured employees, providers, and internal stakeholders.
  • Assists with backend HRIS corrections, separation processing, subpoena response preparation, and benefits-related outreach.
  • Works closely with Office Managers across multiple locations to ensure consistent implementation of HR procedures and standardized documentation practices.
  • Under the direction of their manager, assists in maintaining and updating HR documents in the onboarding system such as EDD booklets, benefits brochures, and employee handouts.
  • Prepares and distributes HR reports such as new hire, separation, and headcount data pulled from the HRIS.
  • Working with AP department and according to process submits HR invoices with accuracy.   
  • Maintains DMV Pull Program up to date on spreadsheet. Add/Delete employees on a monthly basis and process DMV invoice Processes invoices
  • Performs general HR administrative tasks such as scanning, copying, printing, mailing, and filing.
  • Responsible for department mail; send/receive, distribute, package, prepare and track using USPS, FedEx, etc. 
  • Provides backup to the other HR Specialists in department.
  • Assists with company-wide programs such as the annual Giving Tree, including coordination and distribution.
  • Assists with various department projects as needed and performs all other duties as assigned.
 
JOB REQUIREMENTS:
Essential Skills, Experience, and Education
  • 2-4 years working in a Human Resources role
  • Working knowledge of HRIS, preferable UKG Pro
  • Proficiency in Microsoft Word, Excel, Outlook and PowerPoint
  • Strong attention to detail
  • Working knowledge of federal and state employment laws and regulations
  • High degree of confidentiality
  • Written and Verbal fluency in Spanish strongly preferred 
Physical Requirements: 
  • While performing the duties of this job, the employee is regularly required to speak or understand instructions.
  • The employee frequently is required to sit, stand, walk, bend, reach with hands and arms, climb and balance.
  • A significant amount of manual dexterity is required.
  • The employee must be able to lift and/or move equipment weighing up to 25 pounds.
  • Specific vision abilities required by this job include ability to adjust focus. 
WAGE TRANSPARENCY: The base pay for this role ranges from $25-$27 hourly. Compensation will be determined by candidate experience, skills, and location.
