Executive Assistant, Family Operations

POSITION SUMMARY:
This position will provide high level, well organized and detailed administrative support to the Family.
ESSENTIAL FUNCTIONS/DUTIES:
- Proactively manage family calendars priorities and schedule appointments, monitor and follow up accordingly.
- Coordinate family business travel arrangements organizing flights, hotels, and ground transportation.
- Act as point person for the family members and liaison between Executive, Family Office, Sales, Marketing, Real Estate, and other departments to calendar business events requiring Family participation. Foresee potential conflicts and alert and/or resolve with necessary parties.
- Troubleshoot and liaise with IT to support and assist with new installations and maintenance of devices at work and home offices.
- Proactively obtain dates and information on important Company-wide, Wine Industry Business, Sales and Charitable events. Schedule the appropriate Family members and confirm availability and attendance.
- Liaise with Sales & Marketing teams on Brand Ambassador trips, creating itineraries, coordinating travel arrangements, and ensuring calendars are updated.
- Liaise with Chairman’s Office and Family Estate Office on scheduling and coordinating attendance at private family events and trips.
- Liaise with PR team on Wine Critic tastings and organize ground transportation if required.
- Act as liaison between Family and Internal Communications to coordinate media training, photo shoots, etc. as advised by Communications team.
- In coordination with Family Office, assist in classifying and accurately reporting business expenses and processing expense reports when necessary.
- Administer wine samples for Chairman’s Office in accordance with shipping laws, compliance, and company operational procedures.
- Maintain a record of valid vital documentation for Family (Driver License and Passport)
- Perform other Executive Assistant related items as requested.
JOB REQUIREMENTS:
Essential Skills, Experience, and Education
- Associates degree or equivalent required. Business Management degree preferred.
- Three to five years related business administration experience, including a minimum of two years working with a Senior Executive.
- Maintain high level of integrity and discretion in handling confidential information
- Ability to prioritize and multi-task.
- Strong PC Skills including MS Outlook, Word, Excel and PowerPoint.
- Excellent time management and organizational skills.
- Strong verbal and written communication skills.
- Good working knowledge of Apple mobile devices.
- Knowledge of flight procedures and scheduling.
- Occasional need to work evenings and weekends.
Pay Range:
$71,200 - $89,100 - $106,900 annually
