The Opportunity

We are currently seeking an Event Coordinator to manage our career fairs and onsite presence at our partner’s annual conferences.  A successful candidate will be extremely organized and able to manage the logistics of multiple events simultaneously.  This role includes attending many of these events (approx. 8-12 events per year).

Key Responsibilities

Career Fairs

  • Work closely with our sales and marketing departments to create and execute marketing campaigns to support all career fairs. This includes emails, web banners, website landing pages, lead forms, event directories, etc.
  • Work with association partners on logistics such as room setup, furniture, food and beverage, layout, signage, and event day operations for each career fair.
  • Work closely with sales team to support employers participating in career fairs. This includes but is not limited to providing templates for email communications, event directory ads, logistics guidance, as well as general customer service.
  • Travel to career fairs to manage onsite logistics including setup, registration, traffic flow, employer support, job seeker assistance, and problem-solving.
  • Ability to delegate event-planning tasks to other staff members where necessary.
  • Ship necessary career fair materials to/from conferences.
  • Produce and manage ongoing reports and analysis of career fairs to track revenue, employer and jobseeker attendance, employer feedback / ROI, jobseeker feedback, and other important trends.
  • Lead the growth and development of our career fairs, while maintaining organizational profit margins.

Partner Conferences

  • Work with association partners and internal marketing team on logistics such as booth setup, collateral, signage, marketing and promotional materials.
  • Plan and manage logistics of other activities at partner conferences such as professional headshots, speaker presentations, and identifying customers to provide CV consultations.
  • Work with multiple internal departments to identify staff to attend conferences and represent the partner’s career center. Provide information related to travel dates, hotel discounts through official partner housing site, etc.
  • Ship necessary materials to/from conferences.

Job Qualifications

  • Required Knowledge, Skills and Attributes
    • Must be extremely organized, detail oriented and able to prioritize multiple projects
    • Must be able to work independently and possess strong leadership skills
    • Possess ability to think and act quickly and responsibly
    • Demonstrate ability to show initiative, solve problems and bring new ideas to the table
    • Excellent communication skills, both written and verbal, are required
    • Must be computer and Internet proficient
    • Skills include knowledge of and ability to use Microsoft Word, Outlook, Excel, PowerPoint, Salesforce, Survey Gizmo, and basic HTML code
    • Experience with Adobe Creative Cloud (Illustrator, InDesign, Dreamweaver), HubSpot and Asana is helpful but not required.
    • Photography experience is preferred but not required
    • Must be willing to travel to event locations (approximately 8-12 events annually)
  • Required Education and/or Experience
    • Bachelor's degree or equivalent work experience required
    • Minimum 2 years experience supporting customers
    • Event Management/Coordination preferred but not required

Physical Requirements

  • Moderate physical effort (ability to lift/carry up to 50 pounds)
