The Program Manager provides overall project-level management for the successful execution of education and research projects and programs (“programs”). He/she is responsible for the planning, coordination, tracking, and status reporting of all programs delivered by the company. Working in conjunction with the leaders of each primary department, the Program Manager oversees internal and external processes related to each program’s deliverables in accordance with the associated grant and/or contract expectations, timelines, and terms. He/she establishes and updates timelines and processes to guide implementation of programs through multiple departments, coordinate program activities, collaborate with program team members, and monitor progress toward program completion. The Program Manager will support the leadership team and the Education and Research Strategy team in communicating updates with supporters and customers. He/she will also collaborate with and manage external partners to achieve program and project goals. He/she develops and disseminates work plans and program documents, including project timelines and procedures, and progress/update reports. He/she provides status reports and progress updates as needed and tactfully communicates difficult or sensitive information to internal and external stakeholders.

 

 Position Duties:

  • Develop and disseminate overall project plans including task and program timelines for each new or revised program implemented by the organization, with timeliness and accuracy
  • Effectively communicate with external partners (e.g., dissemination and promotion partners) to coordinate program expectations, tasks, terms, and deliverables
  • Prepare detailed, accurate, timely materials for customer program update calls, and participate in and/or lead such calls in partnership with internal colleagues
  • Continually monitor that deliverables are meeting PRIME’s high threshold for timeliness and quality
  • Schedule and conduct periodic (i.e., weekly) meetings with critical project personnel with the goal of ensuring that all leadership are appraised of program updates and needs, to set the compass for weekly responsibilities among all departments
  • Plan and prepare agendas for internal coordination and update meetings, document key decisions pertaining to program management, and ensure all program reports are filed with accuracy and timeliness
  • Manage partner collaborations by identifying, conveying, and monitoring ongoing expectations with partners through the performance of timely program oversight and communications
  • Provide program management guidance to leadership and staff when needed, such as in planning, implementation, and ongoing support of programs
  • Direct the development of new processes and procedures resulting from the initiation of innovations, new workflows, and/or new products
  • Facilitate discussion of partnership terms and related contracting, ensuring proactive communication with relevant internal stakeholders

 

 Candidate Requirements:

  • Bachelor’s degree in a related field (e.g., business administration, project management) or verifiable equivalent certification and/or work experience (i.e., minimal 5 years in staff management, project management, executive oversight)
  • Demonstrated leadership and skills in managing a diverse team of professionals
  • Demonstrated ability to simultaneously manage competing priorities with efficiency and timeliness
  • Experience working in the health care industry
  • Ability to maintain absolute confidentiality pertaining to executive functions,  job functions/duties, and company intellectual property
  • Ability to problem-solve and time-manage
  • Ability to maintain a team-based positive, professional, collaborative demeanor
  • Excellent oral and written communication skills and organizational skills
  • Strong negotiation skills
  • Proficiency in Microsoft Office Suite

 

Physical Requirements:

  • Light physical effort (occasionally lifting/carrying up to 20 pounds)
  • Occasional to frequent walking/standing
  • Manual dexterity for regular/daily use of computer, keyboard, printer, and other office equipment.
  • Able to participate in all staff members’ physical environments and physical requirements
  • Occasional reaching, stooping, bending, kneeling, and crouching
