Purpose of Role
ISP Administrative Executive Key Responsibilities
1. Reception
- Receive and answer incoming calls.
 - Greet/welcome clients/visitors in a friendly, courteous and pleasant manner, refer them to relevant staff.
 - Transfer messages, receive and circulate mails/documents to concerned staff (academic).
 - Maintain the tidiness and cleanliness of front desk and make sure it is under supervision at all the time.
 
2. Administration
2. 1 General Admin
- Provide effective and efficient communication with Parents; answer inquiries and deal with issues related the registration of school services (bus, catering, insurance), EAL, VAL, After School Activities.
- Check and follow up with issues related to student attendance/late arrival/early pick-up.
 - Coordinate with the process of issuing, activating & deactivating Parent’s card & Student’s card.
 - Follow up with Parents to collect required supporting documents.
 
Transportation service
- Co-ordinate with bus drivers/vendors for bus route, pick-up/drop-off time and keep Parents informed of the arrangement.
 - Deal with Parents for matters related to bus arrangement (including student absence from school bus and keep teachers informed accordingly).
 - Monitor the daily quality of the service (pick-up/drop-off time/schedule, cover drivers/monitors - align with safeguarding policy).
 - Monitor the bus service checklist -> send to related personnels for co-operation.
 - Monitor bus conditions and report to immediate supervisor for any bus related matters.
 
2.3. PA&H Insurance Management
- Communicate with Parents for matters related to health insurance (MIC & BH YTBB) (including service registration/withdrawal, claim procedure, …).
 - Co-ordinate with MIC/School Nurse for insurance registration/withdrawal, claim procedure.
 - Deliver MIC cards to parents and log signature for receipt.
 
2.4. iSAMS Management
- Student Manager: Enrolling applicants; managing student data; creating student code, student QR code.
 - Registration Manager: Checking/updating attendance, running attendance reports.
 - Parent Portal: Emailing Parent Portal Account Mannual to new parents; Support Parents on using Parent Portal Account; Uploading Forms, Menus, School Calendar, and Parent Handbook … regularly;
 
2.5. Others
- Contact Parents in emergency case (sickness, accident, behavior issues).
 - Co-ordinate with other support staff to deal with arising issues.
 - Undertake other tasks as and when assigned by line manager and school leaders.
 
Qualification & Experience:
- Bachelor's Degree.
 - At least 02 years working experience as Admin, especially in Education Industry
 - Fluency in English
