BUSINESS OPERATIONS MANAGER
Purpose of Role
Ensure a safe, compliant, and efficient working environment by developing, implementing, and monitoring health and safety policies, procedures, and practices across the organization. This role is also responsible for managing all aspects of facilities operations, including maintenance, security, and space planning, to support business continuity and employee well-being. The manager acts as a key point of contact for regulatory compliance, risk mitigation, and continuous improvement in both safety and facilities management.

Key Responsibilities
Institutional Security and Safeguarding Protocols
● IDentify and monitor operation protocols to ensure the safety of all community members on campus
● Verify and follow up on: the use of identification badges by external service providers and visitors.
● Monitor Proper Use and cleanliness of Student and Adult Restrooms
● Use of Identification Badges for Visitors
● Coordinate with external service providers during school hours; they must be accompanied at all times by BSI staff.
Facilities
● Supervise anticipatory/ preventive inspections to identify areas requiring intervention.
● Create and manage maintenance logs
● Supervise and coordinate maintenance, cleaning teams to ensure tasks are performed according to defined service levels.
● Implement and monitor preventive and corrective maintenance plans; document progress and outcomes through detailed reports.
● Manage operational purchases (OPEX), adhering to budgets, internal policies, and guidelines from Regional Management; submit purchase orders to Finance for approval.
● Serve as contractor inspector/manager, verifying services and deliverables, preparing delivery reports, and authorizing payments when approved by Regional Management.
● Monitor and report emergencies that impact CAPEX, providing accurate and verifiable data to support regional decision-making.
● Ensure all operational licenses, fumigation permits, fire permits and inspections, gas, elevators and required documentation are current and readily available for inspections.
● Verify the validity of insurance policies and maintain up-to-date contact information; incident management is handled by the academy or Finance, while insurance negotiation is led by Regional Management.
● Generate accurate Excel-based reports and performance indicators, reflecting task completion, response times, costs, and savings, without the use of AI tools.
● Apply basic project management principles for operational planning, including space measurement and cost estimation, to support task planning and budget validation.
● Ensure all operations prioritize student and parent satisfaction, meeting quality, time, and budget standards.
Security Personal:
● Coordinate safeguarding training with all security staff.
● Coordinate security teams to ensure tasks are performed according to defined service levels.
● Coordinate any daily changes with the security providers
Transportation Providers:
● Coordinate safeguarding training with the transportation providers.
● Coordinate any daily changes with the school transportation providers.
● Coordinate transportation for educational field trips and extracurricular activities.
● Ensure student transport is updated upon entering school , particularly for students who join BSI after the school year starts.
● Conduct random bus technical checks supported by authorities
● Follow up on bus transportation.
On-site First Aid Service:
● Coordinate with SEMM the timely provision of on-site personnel and replacements when an assigned nurse is absent
● Coordinate that the safeguarding training of incoming nurses is complete prior to starting to work at BSI.
● Other tasks related to this on the other points.
Skills, Qualifications and Experience
The successful candidate will possess and be able to demonstrate:
● University degree in Industrial Engineering, Building Management, Architecture, or related fields.
● Minimum five years’ experience leading maintenance, cleaning, and security teams in educational or corporate environments.
● Hands-on knowledge in contractor management, operational purchasing, and preventive/corrective maintenance, including order tracking and compliance control.
● Advanced Excel skills for operational reporting and KPI tracking.
● Ability to manage operational projects, including space measurement, cost estimation, and basic market analysis for services and maintenance.
● Experience in regulatory compliance: licenses, permits, and legal documentation required for school operations.
● Ability to prioritize and execute multiple tasks, including daily maintenance, emergencies, and tactical support for CAPEX projects, while meeting service levels and budget constraints.
● Results-oriented with measurable outcomes: meeting service levels, preventive program execution, OPEX savings, and accurate reporting.
● Strong ability to coordinate and supervise teams and contractors by strictly following tactical guidelines, without delegating critical responsibilities.
