Purpose of Role

The post holder has specific responsibility for the organisation, administration and strategic development relating to the promotion of the School at all levels through targeted initiatives and activities directed by the Marketing Department.

 

The post holder will be a true ambassador of the School, providing a professional and highly focused customer-service approach. As a representative of the School, the post holder will also work to develop links and partnerships with the parent, businesses, and local community contacts to support mutual development and growth whilst raising the profile and position of the School.

 

The post holder will be expected to build a close working relationship with other members of the Senior Leadership Team (SLT) as well as teaching, administrative and other support staff to fully inform and involve the whole school community in the promotion of the School to the wider world. ISP Registrar Key Responsibilities

 

•    Guides prospective parents through the registration process, supporting the admissions team by answering parent queries and translating for non-English-speaking parents
•    Manages the enrolment of all students offered a place by the Admission & Communication Manager, collecting relevant documentation, and creating and managing student accounts in Engage
•    Maintains and corrects current student records on Engage with the support of the coordinator, reporting data to the department heads when requested
•    Registers new students and maintains current student data with ADEK on eSIS
•    Collect required documents from parents (identification paper / school or medical reports / information / school forms)
•    Maintains all internal and external document templates used in the registration process
•    Updates the Admission & Communication Manager weekly on all possible leavers, and coordinates meetings with relevant heads of department where the parent’s issue could be resolved
•    Processes all leavers, coordinating with Finance to confirm their balance is paid
•    Manages student attendance on eSIS
•    Manages the coordinator, providing additional training when required
•    Updates student grades on eSIS and graduate them at the end of the year, using data provided by the heads of Primary, Secondary and Early Years

•    Supports the Admission & Communication Manager in student recruitment, developing personal links with both English and Arabic speaking external stakeholders
•    To be up to date with all changes in ADEK admissions and registrations policies and procedures.
•    Keep abreast of new information, innovative ideas and techniques
•    Responsible for receipt of all emails from ADEK, forwarding all communication to the Principal’s Assistant, and responding to ADEC as requested by the Principal
•    Arrange for academic approval of new applications. Liaise with relevant colleagues to ensure documents are checked
•    Correspondence with school authorities if students coming from other schools or rejoining other schools
•    Update admissions toolkit / school forms needed for enrolment / welcome package as required
•    Assist the school during inspections
•    Assist with calls / events / tours as required
•    Assist in promoting the school to generate new leads
•    Work closely with finance, MOE Coordinator and School Nurse
•    Ensure Engage is updated with information for child and parent
•    Ensure parents contact details and students’ details are kept updated
•    Ensure all reports are submitted to ISP as required
•    Coordinate Placement Test for enrollment of new students.
•    File all legally required documentation and Transcripts of incoming students 
•    Adhere to all Health and Safety policies
•    Tracking the Target Capacity of each Grade and Section
•    Idea generation on new methods to increase the student enrollment
•    Maintaining & evaluating a record of reasons on students leaving RBS
•    Follow-up in securing documentation with regards to transcripts, grades or any student problems, if any
•    Ensuring students data and reports are uploaded at the end of academic year
•    Processing of students’ transcripts when requested for ADEK
•    Maintain and ensure accurate records of data in The School Management System
•    Handling Admission and Registration related queries
•    Assisting with information related to admission to authorized personnel

•    Counseling prospective parents & providing necessary information on admission procedures
•    Other duties as assigned by the Principal which are consistent with the general requirements and qualifications of the position
