ISP Interim Office Manager/Executive Assistant FTC
 
Purpose of Role
We are seeking an Office Manager and CFO Assistant to support the Group CFO and oversee the smooth operation of our central team based in Wimbledon, London on a 6-month fixed term maternity cover contract. You will play a critical role in providing essential support to the Group CFO, his team and ensuring the efficient functioning of our office environment and all our Wimbledon team members.

ISP Office Manager and CFO Assistant Key Responsibilities
  • Provide support mainly but not exclusively to the Group CFO and COO, including diary management and travel arrangements for them and their direct teams.
  • Schedule meetings for team members and external holders.
  • Manage day-to-day office operations, including office supplies, equipment and facilities maintenance.
  • Coordinate administrative tasks such as scheduling meetings and booking flights and hotels for the wider central team.
  • Assist Team Administrator with internal team enquiries and ad hoc admin tasks.
  • Assist with the planning and execution of office events, meetings, conferences and other special projects.
  • Manage visitor’s system, ensuring a professional and welcoming atmosphere.
  • Maintain accurate records and documentation, including filing systems and databases.
  • Act as a point of contact for internal and external stakeholders, addressing enquiries and helping as needed.
  • Ensure office compliance with Health & Safety, First Aid, and Fire Warden duties.
  • Liaise with building management to align with landlord policies and procedures.
  • Serve as the primary contact between ISP and building management.
The role is full-time and will require being in the office for full days on Tuesdays and Thursdays and a half-day on Wednesdays and on an ad-hoc basis at other times, agreed in advance.
 
Skills, Qualifications and Experience
  • Proven experience as an Office Manager or similar administrative role.
  • Strong organizational and multitasking abilities, with excellent attention to detail.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Ability to work independently and prioritize tasks in a fast-paced environment.
  • A proactive and positive attitude, with a willingness to contribute to a collaborative team environment.
