Responsibilities & Expectations: 

 

As a Services Operations Specialist at Integrated Power Services, you will support the day-to-day operations of our service teams by managing workflows, data, and cross-functional coordination for power management and electro-mechanical services. Your role will involve vendor relations, customer support, process improvements, and ensuring compliance to enhance reliability for clients in industries like utilities, renewable, oil & gas, and manufacturing, ultimately minimizing downtime and aligning with business goals.

 

  • Operational Workflow Management: Coordinate and track workflows across services, including scheduling repairs, monitoring system status, and outlining timelines for projects.
  • Vendor and Procurement Coordination: Manage vendor relationships, collect documentation (e.g., W9, OSHA logs, COI), process POs, handle returns, and support procurement through dealer or OEM channels.
  • Customer Support: Address inquiries on invoicing, POs, service status, and transactional matters; facilitate communication between customers, sales, and internal teams.
  • Document and Contract Handling: Maintain customer files, review terms for MSAs and NDAs, ensure compliance, and manage warranty requests, credit memos, and contract changes.
  • Financial and Billing Assistance: Prepare invoicing details, support collections, track payments, assist with month-end closing, and contribute to financial forecasts like EAC.
  • Reporting and Analysis: Generate sales reports, performance metrics, operational findings summaries, and progress updates; analyze data to identify improvements.
  • System Maintenance: Update CRM/ERP systems (e.g., NetSuite) with customer info, project setups, and accurate records; provide software expertise (e.g., MS Office).
  • Process Improvement: Seek opportunities for efficiency, support initiatives like Lean/5S, and collaborate on OTR processes, quality, and lessons learned.
  • Cross-Functional Collaboration: Act as a liaison between sales, operations, finance, and districts to align on customer requirements, risk processes, and business initiatives.
  • Logistics and Compliance: Coordinate logistics for service activities, ensure adherence to safety standards (OSHA), and manage scope creep or issue resolution.
  • Administrative Support: Assist with project closeout, job folder preparation, and other tasks like PO approvals or customer collaboration.

 

Qualifications and Competencies: 

 

  • 5+ years of experience in operations support, project coordination, technical sales, or customer service, preferably in power management or related industries.
  • Strong analytical skills with the ability to interpret data, take action, and drive process improvements.
  • Excellent communication skills, both oral and written, with strong customer service abilities.
  • Critical attention to detail and organizational skills for managing documentation and compliance.
  • Proficiency in MS Office (including advanced Excel), scheduling tools like Microsoft Projects, and CRM/ERP systems.
  • Exposure to continuous improvement cultures (Lean, 5S, Safety) and contract management.
  • Flexible with hours, overtime, and occasional weekends.
  • Knowledge of power equipment and services (e.g., switchgear, motors, generators) is preferred.
