We are looking for a talented Customer Service Coordinator to join our team. As a customer service coordinator for IPS, you will perform a wide variety of general secretarial and administrative duties in support of the service center and outside sales through invoicing. You will also serve as a central point of contact for communications including contracts throughout the service center and customers’ production, delivery, quality and scheduling matters. This position includes providing backup support in finance, HR and marketing while also supporting our continuous process improvement culture.  

 

Key Responsibilities and Expectations:

  • Perform a wide variety of duties in support of motor service center, including ACS data entry, support in finance, HR and sales, shipments, order processing, customer credits and inventories. 
  • Compose and / or prepare and distribute correspondence, letters, memos, presentation materials, reports, etc. for manager approval. 
  • Provide customer service for timely and cost-effective completion of all customer service -related paperwork of incoming orders through invoicing. 
  • Responsible for order taking, processing, investigation and resolution of customer complaints, and coordination of customer service objectives with shop operations.  
  • Provide customer and sales correspondence, the tracing of shipments, order processing, customer credits and inventories. 
  • Provide the completed price quotations and bids form sales personnel to customers and work closely with customers to ensure satisfaction. 
  • Process paperwork unique to the assigned group; answer and direct telephone calls 
  • Act as a technical resource to both internal and external customers to address and resolve inquires, and problems related to the business group. 
  • Ability to secure sensitive information (which greatly impacts the organization) daily in a confidential manner.  

 

 

Qualifications and Competencies

 

  • Minimum Education Requirement: High school degree plus technical related education or equivalent. (An associate’s degree or the equivalent and 3-6 years of related experience preferred.) 
  • A minimum of 5 years in the motor repair or related industry is required. (Experience in customer service administration preferred.) 
  • Ability to relate well with others in a professional and knowledgeable manner  
  • Strong proficiency in the use of Microsoft Office suite
