Field Service Coordinator

Responsibilities & Expectations:
The Field Service Coordinator will be responsible for incoming field service requests for our IPS PowerServe division, ensuring that quotes are prepared with correct pricing and team information. This position will be an essential part of the PowerServe field service operation and requires meticulous organization and communication skills.
- Receive incoming RFQ request calls, tracking details such as customer, site location, and critical bid information
- Set up customer and quotes in NetSuite for review by Estimating and Area Managers
- Ability to ask technical questions regarding the nature of the field service request while always being professional and polite when communicating with customers
- Ensure daily, weekly, monthly, and annual inspections and audits are completed
- Re-enforce the safety policies, guidelines, and procedures
- Maintain relevant logs and documentation
- Work with customer and seller to receive POs for projects
- Responsible for job folder preparation for quoting
- Assist with month-end reports and other administrative tasks, as needed
- Facilitate communication between estimating team, account managers, subject matter experts, and customers to ensure everyone is informed of bid status.
- Set up and maintain bid files in designated software and drives.
- Upload plans and specs to project management software and organize drawing sets.
- Provide general administrative and clerical support to the estimating department.
- Review and input preconstruction requests for information (RFIs) into the system.
- Support the preparation of proposals and bid forms
Qualifications and Competencies:
- Strong organizational skills with the ability to multitask and adapt to changing priorities in a fast-paced environment
- Proficiency with computer systems, including the MS Office suite
- Familiarity with electrical construction documentation and bid processes (preferred)
- Technical background in electrical and/or mechanical products (preferred)
- 3+ years of customer service experience in an industrial environment, or equivalent education (preferred)
- Excellent communication and interpersonal skills, with the ability to build strong relationships with customers
- High attention to detail and accuracy
- Ability to learn, retain, and apply job-related training
- Flexibility with work hours, overtime, and occasional weekends
