Job Summary
Working under general direction of an Account Manager (AM), Account Executive (AE) or Producer and following established industry and company guidelines; provides administrative and customer service support to account team, Producer and/or assigned group of accounts; and meeting all performance requirements regarding production, quality and ensuring that no liability associated with errors and omissions occur. Capable of resolving moderately complex customer service problems; showing the ability for critical thinking and thought process in taking the next step in the best interest of the client, carrier partner and IOA. Typically assigned to small-sized accounts and/or to those accounts having the least complex needs.
What You’ll Do:
- Assist in directing day-to-day activities and work flow assigned to Team Support/Receptionist, Account Assistant and/or Account Associate
- Assist and ensure all new and renewal insurance policies are processed accurately and within required timeframes by tracking policy expirations for existing clients and work proactively to ensure appropriate actions are taken to facilitate renewals
- Processing the following tasks accurately and within required timeframes:
- Processing Policy Endorsements and carrier Audits; identify errors and facilitate corrective actions
- Processing Policy Cancellations, Reinstatements and Lost Policy Releases (LPR)
- Preparing Check requests, Invoices and Premium Finance Agreements
- Preparing Summaries of Insurance
- Ordering Loss Runs and MVR’s
- Issuing Auto ID Cards
- Issuing Certificates of Insurance and Evidences of Property
- Issuing Binders of Insurance
- Preparing Check Requests, Invoicing and Premium Finance Agreements
- Identifying and reconciling of any inaccuracies in Account billings
- Preparing Agent of Record letters (AOR)
- Provide support to AM, AE or Producer in the new business and renewal business workflows, including but not limited to:
- Client research and gathering complete underwriting information
- Conducting Loss Run Analysis
- Preparing complete and accurate submissions including Acord applications and/or supplemental forms; sending out to market and/or performing Online Rating as required
- Evaluating and negotiating coverages and pricing
- Preparing and presenting Proposals as directed by AM, AE or Producer
- Binding coverage and complying with any subjectivity(ies) as required by carrier, Surplus Lines Association and/or IOA
- Diligent follow up for Policy Issuance
- Review all policies, identifying and notifying AM, AE or Producer of any discrepancies and ensuring that all necessary changes are submitted to and issued by the carrier
- Maintaining accurate schedules and/or Summaries of Insurance
- Assist in review of contracts to ensure proper coverages are included
- Monitor Accounts Receivables report and take action on any delinquent accounts along with collecting outstanding balances due
- Data entry and maintain agency management system, other agency supported systems and carrier/vendor online platforms, ensuring all data entered is complete, clearly presented and well-documented, accurate, and up-to-date
- Monitor and maintain activity/suspense, taking necessary action to ensure completion within required time frame
- Maintain frequent, transparent communication with account team regarding individual and team client service and policy administration activities, ensuring that the account team is fully informed of workload status, questions and/or any errors, discrepancies or changes related to assigned duties and tasks
- Deliver excellent service at all times, including proactively anticipating needs, maintaining frequent and professional communication, and responding quickly to service requests
- Continually stay abreast of all company policies and procedures to ensure good knowledge, execution and compliance of standard operating procedures
- Continually seek to improve individual and team performance, including identifying, communicating and adopting best practices

- Regular and consistent attendance is expected and a necessary component to the job
- Perform other duties as required
What We’re Looking For:
3+ years of customer service experience in the insurance industry
Has a very good understanding of what an insurance brokerage is and does
All required active licensing
CISR designation or equivalent preferred
Strong analytical, problem solving and decision making skills
Excellent customer service skills
Must possess high attention to detail
Excellent multi-tasking, organizational and prioritization skills
Outstanding verbal/written communication skills
PC proficiency, including basic knowledge of MS Office products, including Outlook, Word and Excel
Exceptional personal character
High School Diploma (or equivalent)
