POSITION SUMMARY
 
The Customer Service Representative (CSR) receives, processes and monitors customer sales orders. The CSR provides product and support information for customers for all product offerings. This role will also monitor sales order status, review and balance inventory levels, and interface with sales managers, operations departments, and carriers to ensure accurate and timely processing and fulfillment of sales orders. 
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
 
  • Receive and process customer orders through the fulfillment stage
  • Review billing invoices for accuracy, confirm tons shipped, bill of lading accuracy and correct terms
  • Set up destinations for rail delivery
  • Collaborate with the Loadout team on order fulfillment issues (primarily with truck orders)
  • Prepare required documentation (BOL, COA, etc.) to meet customer needs
  • Develop and maintain a working technical knowledge of all products offered by Intrepid
  • Build and maintain relationships with customers and understand their product requirements and locations
  • Assist with the resolution of quality issues and customer complaints
  • Review and approve railroad and truck freight invoices for submission to the Accounting department on a daily basis
  • Run invoices daily and balance all related functions
  • Prepare credit and re-bills to comply with Sarbanes Oxley requirements
  • Maintain accurate customer information in the sales operations system
  • Track inventory accuracy and balance for warehouses
  • Other duties as assigned
MINIMUM QUALIFICATIONS 
  • High school diploma, or equivalent 
  • At least 5 years of administrative experience and/or customer facing role 
PREFERRED QUALIFICATIONS 
  • Relevant college degree
SPECIFIC KNOWLEDGE, SKILLS & ABILITIES
 
  • Effective and professional written and verbal communication skills 
  • High level of attention to detail 
  • Demonstrated computer skills: Microsoft Office – Outlook, Word, Excel, PowerPoint, SharePoint
  • Basic knowledge of accounting principles
  • Ability to perform multiple tasks and work with minimal supervision
  • Team player mindset
  • Motivated by the opportunity to provide high quality service 
WORKING CONDITIONS AND PHYSICAL DEMANDS 
 
Work is typically performed indoors in an office environment. The noise level in the work environment is usually quiet. Incumbents must be able to perform work that requires typing, reading, communicating, sitting for prolonged periods of time, standing, and walking.  
 
The employee: 
  • Is regularly required to use hands to type, touch, handle, or feel 
  • Is frequently required to stand and reach with hands and arms 
  • Is occasionally required to walk and climb or balance 
  • May occasionally be required to lift and/or move up to 15 pounds 
In the event that the incumbent visits an operations worksite, personal protective equipment including but not limited to head protection, hearing protection, safety glasses, safety shoes, and flame-resistant clothing may be required.
 
COMPENSATION AND BENEFITS 
 
Targeted compensation range for this position is $25 - $31 per hour. Compensation is commensurate with experience and skill set.
