About the Job
Under the direction of the Proposal Manager, the successful candidate will aid in developing and organizing proposals and materials that are accurate, concise, and demonstrate an understanding of the target audience’s needs. The successful candidate will support the development, maintenance, and oversight of proposals and creative assets for Integral’s service areas. The Proposal Coordinator will have a strong foundation in graphic design, data visualization, and the creation of visually compelling marketing materials, specifically within the Professional Services industry. The ideal candidate will possess the expertise to coordinate proposals from the initial Request for Proposal or Qualifications (RFP or RFQ) phase through to final submittal, integrating creative components to produce a visually attractive and coherent product. This role demands a keen eye for design and layout to elevate our firm's proposal submissions. 

The successful candidate also we be adept at working collaboratively with other marketing team members and/or external contractors to add or edit graphic elements to elevate the quality of proposals and other business development materials, when appropriate.    

Responsibilities    

Proposal Preparation    

  • Draft Proposal Compliance Plans, outlines, timelines, and checklists, tailored to RFP/RFQ requirements
  • Organize and develop task lists from kickoff and pre-submittal meetings and gather proposal content from project teams as needed
  • Maintain and update templates, content libraries, client relationship management data, and boilerplate text, such as project descriptions and firm qualifications, to streamline the proposal process
  • Work with others to produce SOQs, including editing and graphics; formatting, preparing for digital reproduction
  • Work with the Proposal Manager to maintain a calendar with multiple deadlines while communicating clearly with internal and external partners
  • Participate in marketing/proposal strategy sessions and debriefs

Graphic Design     

  • Use graphic design software to ensure proposals are visually appealing, well-organized, and professional
  • Assist with proposal graphics, formatting, and preparing for digital and/or print reproduction.
  • Assist in preparing graphics for presentations, interviews, and meetings related to the proposal process
  • Ensure professionalism and quality is communicated through content, layout, and the use of visuals that is consistent with the corporate brand and vision

Qualifications    

Candidates should hold a bachelor's degree or equivalent experience in a marketing professional services environment for engineering, architecture, or construction.   

The ideal candidate will have:    

  • 3+ years of proposal or grant writing, marketing, or communications experience
  • Strong working knowledge of Adobe Create Suite, especially InDesign and Illustrator
  • Proficiency in graphic design
  • Understanding and experience with the RFQ/RFP process
  • Strong organization skills with exceptional attention to detail, and excellent technical writing skills 
  • Ability to maintain a strong sense of focus and confidence under tight deadlines and varying workloads
  • Excellent written and oral communication skills
  • A desire to grow both intellectually and professionally
  • Ability to work independently and within a multidisciplinary team of scientists and engineers

Salary Range: $31.00 - $38.00 per hour    

An employee’s total compensation package includes annual salary, company-subsidized (employee and family) medical, dental, and vision insurance, 401(k) participation with a company-match of 1% to 4% of annual compensation, company-paid life and short- and long-term disability, paid sick leave (80 hours per year), paid vacation (10 days), paid holidays (9 days per year), and the potential for an annual discretionary bonus based on company performance. Paid time off will be pro-rated to reflect part-time scheduled hours, if applicable.
