Role Description : 

Responsible for supporting the management of operational and administrative functions of the company's offices and workshops, aiding in supplier relationships, assisting in parts procurement, and client billing. Ensures compliance with quality and EHS guidelines, contributes to improvement initiatives, and helps achieve service key performance indicators. 

Essential Responsibilities :

Supplier and Operational:

• Support supplier negotiations to maintain offices and workshops within the company's operational standards, including supplier contact, scope and price negotiation, sending purchase orders, overseeing activity execution, schedule adherence, and assisting with invoices and payments if necessary.

• Assist in maintaining the operational conditions of offices and workshops, including oversight of utilities, telecommunications, rent, and condominium services.

• Support administrative operations of offices and workshops during business hours, ensuring they remain open and functional.

• Assist in ensuring cleaning service providers are performing their duties correctly to maintain a work environment that meets company standards, and support the provision of necessary supplies.

Parts and Workshop:

• Assist in handling requests for parts/components necessary for Jenbacher component repair activities in the workshop, supporting the complete process from request to import and delivery.

• Support the administrative management of the receipt and dispatch of workshop materials, liaising with necessary departments for invoice issuance and purchase orders.

Client and Billing:

• Assist in preparing and sending service quotes related to workshop activities, support client contact and negotiations, help control purchase orders, assist in managing invoices, and oversee transport and billing processes after management approval.

• Billing of labor activities in the region, including gathering activity reports, calculating billing values, assisting with customer purchase orders, requesting invoice issuance, and handling client negotiations.

• Assist in overseeing the control of client payment delays, preparing reports and controls to support management in collections, and contacting clients when necessary.

Administrative Support:

• Provide administrative support to management areas. This includes scheduling events, booking hotels, and handling other necessary administrative tasks. Also tasked with supporting the receipt and distribution of small technical assets, such as mobile phones and computers, to workshop and field service technicians within the region as needed.

Resource and Compliance: 

• Support the management of material and third-party resources in a cost-sensitive way.

• Assist in ensuring compliance with quality and EHS guidelines regarding internal and external resources.

• Support EHS by assisting with safety audits, recording EHS observations, and informing the department of any issues.

Improvement Initiatives and Performance Indicators:

• Provide recommendations for improvement regarding operations initiatives.

• Work within the services team to support the achievement of service key performance indicators, ensuring alignment with set KPIs to measure and enhance operational efficiency.

Additional Responsibilities:

• Perform other duties as assigned.

Qualification Requirements : 

  • Good negotiation, supplier management, administrative, and organizational skills.
  • Proficient in managing utilities and facility (office and workshop) operations, and have a good understanding of supply chain processes. 
  • Good customer service, financial skills, and problem-solving abilities are also required.
  • Familiarity with quality and EHS guidelines is necessary, along with the ability to work within a team and flexibility to perform various duties.
  • Good English and -ideally- Spanish level in addition to complete fluency in Portuguese. Capable of maintaining conversations and elaborating reports and emails with clarity.
  • Ability to work out of the Campinas office
  • Willingness to travel short periods, up to 10% 
  • Ideally a Bachelor's degree in Business Administration, Operations Management, Supply Chain Management, or a related field
