The Receptionist Intern is the primary point of contact for the company’s office, who greets guests, partners, and employees in a professional and courteous manner, supports office events, and ensures the smooth operation of administrative processes in both Hungarian and English.

Your tasks:

Guest Reception and Communication

  • Welcoming, registering, and directing guests, partners, and suppliers in Hungarian and English
  • Special handling, providing information, and guidance for visitors from HQ
  • Managing guest entry, issuing, collecting, and tracking access cards
  • Maintaining visitor and event registration logs
  • Acting as the primary contact with the building’s reception

Telephone and Electronic Communication

  • Receiving and professionally handling incoming emails, forwarding them in Hungarian and English
  • Forwarding messages and information to relevant colleagues
  • Providing general information about company operations and contacts

Meeting Rooms and Common Areas Management

  • Booking and preparing meeting rooms, checking technical equipment, providing support if needed
  • Organizing catering and hospitality for events, meetings, and trainings
  • Continuously monitoring and maintaining order in common areas

Event Support

  • Preparing, executing, and coordinating follow-up for local events and functions
  • Greeting, guiding, and providing information to participants in Hungarian and English
  • Handling event-related administration and collecting feedback

Supporting New Employees

  • Supporting the onboarding process: preparing welcome packages, orientation, issuing access cards
  • Introducing the office and providing basic information

Administrative and General Office Tasks

  • Handling documents, printing, scanning, mailing, checking incoming delivery confirmations, processing invoices
  • Managing minor purchases, keeping inventory of office supplies

 

Your profile:

  • Active student status with ongoing studies (in Hospitality, Economics, etc.)
  • Ability to work 30-40 hours per week, on-site
  • Experience as a receptionist or in a similar office or administrative role is an advantage.
  • Fluency in Hungarian, and strong command of English (both spoken and written) – active daily use
  • Excellent communication, organizational, and problem-solving skills
  • Polite, professional demeanour, customer-oriented attitude
  • Confident use of MS Office and office technical equipment
  • Proactivity, independence, flexibility
  • Discretion, reliability, precision
