Purpose of Role:
Support the operational and administrative functions of the LATAM region. The intern will contribute to the efficiency and accuracy of workshop and regional operations, focusing on invoicing, inventory, contract management, and process compliance.
 
Essential Responsibilities:
  • Assist the Operations Support Specialist in preparing, processing, and tracking invoices for workshop and regional activities, ensuring all documentation is accurate and timely.
  • Support the closure of Service Requests (SR) by monitoring progress, updating records, and following up with relevant stakeholders to ensure completion.
  • Monitor contract status, compliance, and renewal dates, maintaining organized records and supporting audits or reviews as needed.
  • Track and analyze financial costs related to workshop operations, helping to ensure proper allocation and adherence to budget guidelines.
  • Participate in inventory management, including receiving, issuing, and tracking workshop parts, maintaining accurate inventory records, and supporting periodic stock counts.
  • Assist with ordering parts for customers with nonstandard contracts, following established procurement procedures and coordinating with suppliers.
  • Provide administrative support for operational tasks such as preparing reports, updating databases, and organizing files.
  • Collaborate with the Operations Support Specialist to identify opportunities for process improvement and support implementation of new procedures.
  • Communicate regularly with workshop staff, regional teams, and external partners to facilitate smooth operations and resolve issues promptly.

Key Professional, Project, or Leadership Experience:
  • Experience in administrative or operational support roles (internships, student jobs, or academic projects).
  • Exposure to process tracking, compliance, or inventory management is a plus.
  • Ability to work collaboratively in a team environment, take direction, and proactively seek guidance when needed.
 
Academic Requirements:
  • Currently pursuing a degree in Business Administration, Engineering, Finance, Supply Chain, or a related field.
 
Job Specific Knowledge:
  • Basic understanding of invoicing and financial tracking, including familiarity with supporting documentation.
  • Knowledge of inventory management principles and workshop logistics.
  • Awareness of contract compliance, operational processes, and relevant documentation requirements.
  • Proficiency in MS Office (Excel, Word, Outlook); ability to learn new systems and tools as required.
 
Language Requirements:
  • Basic English and Spanish required for daily communication and documentation.
  • Good English skills will be considered a differential.
