INCOG Biopharma Services is looking for a Warehouse Manager to join our growing team.  This role is key to the material receipt (inbound shipments), storage, handling, movement/reconciliation, and outbound shipping of inventory at the INCOG facility. This individual will help with the development and continuous improvement of processes and procedures. 
 
INCOG is seeking a dedicated and experienced Warehouse Manager to oversee our warehouse operations in a biopharma contract development and manufacturing environment. The ideal candidate will have a strong background in logistics and inventory management, with a focus on compliance with regulatory standards in the pharmaceutical industry. This role will ensure the efficient handling, storage, and distribution of raw materials and finished products while maintaining the highest quality and safety standards.  Must be able to meet the physical requirements of this job including operating a forklift, lifting 50lbs or more and being on your feet for 4-6 hours daily. 
 
Key Responsibilities:
  • Warehouse Operations Management: Oversee daily warehouse activities, including receiving, storage, inventory control, and shipping processes, ensuring compliance with Good Manufacturing Practices (GMP) and other regulatory requirements.
  • Team Leadership: Lead, train, and develop warehouse staff, fostering a culture of safety, efficiency, and continuous improvement.
  • Inventory Control: Implement and maintain inventory management systems to ensure accurate tracking of materials and products, minimizing waste and discrepancies.
  • Quality Assurance: Collaborate with the quality assurance team to ensure all warehouse processes comply with company policies and regulatory standards, conducting regular audits and inspections.
  • Logistics Coordination: Manage logistics operations, including coordinating with suppliers and transport services to ensure timely delivery and efficient distribution of products. This includes the management and spearheading of 3rd party logistics companies where INCOG materials may be stored. 
  • Process Improvement: Identify opportunities for process improvements within warehouse operations, implementing best practices to enhance efficiency and reduce costs.
  • Safety and Compliance: Ensure compliance with all safety regulations and best practices, conducting regular training sessions and safety audits.
  • Reporting: Prepare and present regular reports on warehouse operations, inventory levels, and performance metrics to senior management

Essential Job Functions (further explanation of statements above):

  • Oversee and manage the receipt of incoming pharmaceutical shipments and verify contents against purchase orders, materials specifications and receiving in line with INCOG SOP’s.
  • Oversee and Manage incoming non-pharmaceutical shipments and verify contents against the purchase order. Delivering to internal customers. 
  • Support and lead the inspection of products for damage, discrepancies, or expired items and resolve any issues with the support of the Supply Chain management. 
  • Store pharmaceutical products in designated areas according to material specifications and regulatory requirements.
  • Monitor, Regulate and control the internal assets that provide cold storage solutions for materials requiring that condition. All assets are vital to the success of the company and must be compliant with qualifications and maintenance. 
  • Maintain accurate inventory records using warehouse management systems (WMS/SAPbyDesign).
  • Conduct regular cycle counts and assist in periodic physical inventory audits.
  • Direct, support and execute the picking and packing of orders accurately and efficiently to meet internal customer demands
  • Ensure all materials are labeled correctly and prepared for internal delivery according to company standards.
  • Able to use barcode scanners and other technology to track and manage inventory.
  • Adhere to all safety, quality, and regulatory guidelines, including Good Manufacturing Practices (GMP) and Good Distribution Practices (GDP).
  • Maintain a clean and organized work environment to prevent contamination and ensure product integrity.
  • Assist in maintaining records for regulatory inspections and audits.
  • Operate warehouse equipment such as forklifts, pallet jacks, and conveyor systems safely and efficiently.
  • Work collaboratively with other warehouse associates and departments to achieve operational goals.
  • Organize, lead and communicate in team meetings and training sessions to stay updated on company policies and procedures.
  • Provide direct management of Warehouse SOP’s, WI’s, and other quality documents to ensure that they are accurate, compliant, and realistic. 
  • Direct ownership over any quality system related deviations, change controls, or other quality events to ensure timely responses, edits and approvals in the Quality Management System (Veeva). 

Special Job Requirements:

  • Ability to lift 50 lbs.
  • Ability to obtain Powered Industrial Lift Certification
  • Ability to split time worked in warehouse and at a desk.
  • Ability to work in the elements (if applicable)
  • Ability to stand, walk, and bend for extended periods.
  • Comfortable working in varying temperature conditions within the warehouse

Additional Preferences:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or demonstrated equivalent experience in this role.
  • 5+ years of experience in warehouse management, preferably in the biopharma or pharmaceutical industry.
  • Strong understanding of GMP, FDA regulations, and other relevant compliance standards.
  • Proven leadership skills with the ability to manage and motivate a diverse team.
  • Excellent organizational and problem-solving abilities, with a strong attention to detail.
  • Proficient in warehouse management systems (WMS) and Microsoft Office Suite.
  • Strong communication skills, both verbal and written
  • Excellent organizational and time management skills.
  • Ability to operate warehouse equipment safely.
  • Certification in handling hazardous materials (preferred but not required).
  • Fast-paced warehouse environment with exposure to pharmaceutical products.
