The Talent Acquisition Operations Manager manages, organizes, maintains, and continuously improves Talent Acquisition systems, tools, processes, and associated resources to align with the organizational goals, strategy, and current and future talent acquisition needs. This position serves as the primary administrator and strategic owner of the Applicant Tracking System (ATS), leading a high-performing administrative team responsible for requisition and offer workflows, data integrity, and pre-boarding compliance. This role ensures operational excellence through process optimization, stakeholder training, and data-driven decision-making.

Position Information: This is a regular, full-time position, reporting to the Senior Director of Talent Acquisition.

 

Compensation: Base pay is anticipated to be between $80,000.00 and $90,000.00 per year. Eligible employees may also receive incentive/commission/annual bonus pay based on individual and/or company performance. Compensation may vary based on factors such as, but not limited to, individual skills, experience, training, education/certifications, geographic location, internal equity, and local market conditions.

 

Location: Priority for this US-based position will be given to applicants who are willing and able to work up to two days each week from our Tempe, AZ office. Fully remote candidates must reside in the Pacific or Mountain time zones to be considered.

Envision Your Experience.

In this role you’ll have the opportunity to:

  • Lead a collaborative Talent Acquisition administrative team responsible for requisition and offer creation, ATS data management, and new hire pre-boarding.
  • Serve as the strategic lead and administrator for the ATS and onboarding platforms, ensuring optimal configuration, user support, and system performance.
  • Collaborate with HRIS, IT, and vendor partners to ensure system integrations and data accuracy across platforms.
  • Develop and maintain dashboards and KPIs to measure recruiting efficiency, compliance, and candidate experience.
  • Monitor and improve system workflows to enhance recruiter and hiring manager experience.
  • Oversee the administration of background check, I-9, E-Verify, and other pre-boarding processes, ensuring efficiency, accuracy, and compliance.
  • Ensure compliance with all local, state, and federal laws and regulations related to hiring, onboarding, diversity, and budget restrictions.
  • Use systems and tools to generate reports, analyze data, and identify risks and opportunities across the Talent Acquisition function.
  • Create and maintain online Talent Acquisition resources.
  • Plan and execute training for hiring managers and talent acquisition team on talent acquisition processes, ATS, and compliance requirements and procedures.
  • Lead Talent Acquisition experience initiatives, ensuring stakeholder satisfaction and positive customer relationships throughout the Talent Acquisition life cycle.
  • Provide recommendations and implement actions that support the continuous improvement of the Talent Acquisition function.
  • Drive innovation in recruiting operations, including new processes, tools, training, and strategies to optimize the Talent Acquisition function.
  • Other duties as required.

 

Share Your Expertise.

Experience, education, and qualifications essential for success in this role, include:

  • Bachelor’s degree in Human Resources Management or relevant field, and at least 10 years of experience in Talent Acquisition Operations, with at least 3 years in a leadership capacity; or an acceptable combination of education and experience.
  • Strong knowledge of current talent acquisition tools, strategies, processes, and best practices.
  • Previous experience in ATS management as a system administrator/super user of a complex applicant tracking system (such as Jobvite), to include requisition, offer, candidate, and onboarding management, as well as advanced analytics and reporting.
  • Strong interpersonal, communication, and relationship management skills, with the ability to engage, influence, and negotiate effectively across a diverse population.
  • Self-motivated, conscientious, and internally driven to achieve excellence.
  • Proficiency in data visualization tools (e.g., Power BI, Tableau) and HR analytics.
  • Experience implementing and optimizing ATS platforms, including workflow design and user training.
  • Experience managing vendor relationships and contracts related to recruiting systems.
  • Exceptional strategic and critical thinking skills.
  • Strong technical and business acumen and consultative skills.
  • Experience with employer branding and talent acquisition-related marketing.
  • Excellent computer skills, including MS Office, Teams, Zoom, AI applications, with the ability to identify and implement new technology tools.
  • Familiarity with AI tools and proven ability to use AI effectively and ethically during the recruiting process.
  • Strong and current knowledge of applicable state and federal laws and regulations related to recruiting and hiring.
  • Detail oriented, with the ability to maintain compliance in a high-volume, dynamic environment.
  • Demonstrated ability to generate and leverage talent data and predictive analytics to inform strategy and improve outcomes.
  • Customer focused, with the ability to understand and exceed customer expectations.
  • Strong leadership and team building skills, with the ability to effectively motivate team members, balance workloads, monitor performance, mentor, coach and develop talent, and foster engagement.
  • Ability to make significant contributions tactically, strategically, analytically, and creatively.
  • Exceptional time management and organizational skills, with the ability to manage and meet deadlines for multiple simultaneous projects.
