This Senior Proposal Specialist supports the bids department in the completion of written bid responses, grant applications, content documents, and other requests related to RFP’s, RFI’s, Instructional Materials Adoptions or other bid and procurement processes. This position works collaboratively with various internal and external stakeholders to respond to solicitations, rubrics, and other items. This position is a subject matter expert in the development of proposals, as well as the solutions offered across company products and services.

Position Information: This is a regular, full-time position, reporting to the Senior Bids Director.

 

Compensation: Base pay is anticipated to be between $65,972.00 and $75,000.00 per year. Eligible employees may also receive incentive/commission/annual bonus pay based on individual and/or company performance. Compensation may vary based on factors such as, but not limited to, individual skills, experience, training, education/certifications, geographic location, internal equity, and local market conditions.

 

Location: In this US-based position your location will be remote.

Envision Your Experience.

In this role you’ll have the opportunity to:

  • Responsible for development of written responses to a variety of RFPs, RFIs, rubrics and additional response documentation. 
  • Coordinate proposal development activities in collaboration with the Bids and other department teams. 
  • Oversee assigned proposal activities, including managing proposal schedules and deadlines, and monitoring the progress of the proposal. 
  • Analyze RFP/bid requirements against the proposal outline to ensure compliant response structure and format. 
  • Develop required custom templates and/or formats. 
  • Layout proposal across volumes (format, font, consistency) and creates actual volumes (electronic, paper form). 
  • Conduct regular proposal progress status meetings and maintain the proposal schedule. 
  • Facilitate and coordinate proposal team communications. 
  • Monitor graphics workflows to ensure compliance with RFP and template requirements, and proper placement of graphics. 
  • Build the proposal compliance matrix and track the fulfillment of all requirements. 
  • Coordinate proposal reviews and prepare all proposal materials for the reviews. 
  • Prepare detailed delivery plans and checklists and coordinates final printing, electronic copy, assembly, and shipping. 
  • Provide high level technical solutions and marketing responses to customer-initiated requests.
  • Interface with product marketing, engineering, operations, and various groups within the organization to produce customer ready proposals including formatting, graphics, and presentations.
  • Manage a wide range of long- and short-term projects of medium-to-high complexity, which is important to the sales and marketing goals of the company. 
  • Maintain a working knowledge of company offerings including software and services.
  • Other duties as required. 

 

Share Your Expertise.

Experience, education, and qualifications essential for success in this role, include:

  • Bachelor’s degree in English, Education, or related field and at least 5 years of experience in the education industry preferably middle school/high school and/or related experience working with other vendors who provide similar products and services; or an acceptable combination of education and experience. 
  • Proven experience managing large projects involving multiple internal and external departments which contain ongoing requirements to ensure award/compliance and success.
  • Understanding of education and instructional theory for middle and high school programs.
  • Familiarity with online or virtual education programs.
  • Ability to utilize higher order thinking skills to customize response to position appropriately the model, strategy, and/or subject area.
  • Provide competitive positioning strategy to produce a winning proposal.
  • Ability to work quickly and under a timeline to meet deadlines with complete, appropriate, and strategic response.
  • Highly motivated with extensive and excellent verbal and written communication, presentation, and problem-solving skills.
  • Self-starter with strong organizational and time management skills, self-directed and able to handle multiple priorities with demanding timeframes.
  • Ability to work collaboratively with colleagues and staff to create a high-quality results-driven, team-oriented environment.
  • Proficient in Microsoft Word, Excel, Adobe PDF Professional, Snag-It, PowerPoint, Outlook, and other desktop tools.
  • Working knowledge of NetSuite preferred.
  • Project management knowledge and/or certification desirable.
