Certification and Licensure Manager

 

Role Mission:

The Certification and Licensure Manager (CLM) supports with the development and implementation of certification systems to ensure IDEA employees meet industry standards and regulatory state-specific requirements. The CLM plays an integral role in ensuring that products, services, and organizational processes meet established standards of quality, safety, and efficiency. This position involves coordinating with various departments to gather and evaluate the necessary documentation, conducting audits, and overseeing the certification process from start to finish. By maintaining a thorough understanding of industry-specific regulations and standards, the CLM ensures that IDEA remains compliant and competitive within its market. This role not only supports the credibility and reliability of the organization’s offerings but also fosters trust among consumers and partners by guaranteeing that all certifications and licensures are current and accurately reflect the high standards of the organization.

 

Travel Expectations: Up to 10% of the time

 

Supervisory Responsibilities: Directly supervises employees on the HR team and carries out supervisory responsibilities in accordance with organizational policies and applicable laws. Is also responsible for effectively collaborating with a variety of internal stakeholders to successfully perform the essential functions of the position.

 

 

Location:

This is a full-time remote position based in Texas with preference given to candidates who live in Austin, El Paso, Houston, Permian Basin (Midland/Odessa), Rio Grande Valley, San Antonio, and Tarrant County (Fort Worth), or who are willing to relocate.

 

What You’ll Do - Accountabilities

In this role you will:

  • Ensure the organization’s compliance with all aspects of federal, state, and local employment law, staying abreast of new regulations and making recommendations regarding compliance
  • Establish and maintain accreditation for certification programs by meeting the criteria set by relevant accrediting bodies
  • Manage the certification and licensure database, monitoring and tracking to ensure accurate record-keeping of applicants, certified individuals, and expiration dates
  • Provide assistance to employees in the certification process when needed and ensure that that IDEA is in compliance with appropriate state regulatory required certification agencies (SBEC, TEA, LA DOE, etc.)
  • Facilitate workshops, training sessions, and informational seminars to prepare candidates for certification exams.
  • Handle certification and licensure inquiries and provide guidance to applicants on the certification process, requirements, and status updates
  • Collaborate with Alternative Certification Programs regarding employees enrolled in certification program and ensure activation of probationary or intern certificates
  • Review and update certification and licensure standards and procedures to reflect changes in industry practices, technology, or regulations
  • Process and handle necessary online functions using the respective educator online applicant portal/tracking system
  • Audit and maintain certification licensing information of certified or licensed professionals
  • Collaborate with industry experts and stakeholders to gather feedback and continuously improve the certification and licensure programs
  • Develop and maintain strong communication and presentation skills, with the ability to speak comfortably and professionally to individuals and groups at all levels of the organization

 

 

What You Bring – Competencies

Required experience:

  • Education: Bachelor's Degree in HR, Business, or a related field required. Experience may be accepted in lieu of degree.
  • At least three years of experience in areas such as program development, educator certification, quality assurance, and regulatory compliance preferred
  • Hands-on involvement in creating and implementing certification and licensure standards
  • Experience in managing certification processes
  • Strong business partnership experience
  • Strong participation in professional training programs to oversee certification activities effectively
  • Able to coordinate with external agencies effectively
  • Updated on industry trends to ensure certifications meet current standards
  • Excellent communication and interpersonal skills
  • High level of proficiency in Microsoft Excel, PowerPoint, and Word required

  • Accreditation Standards: A Certification and Licensure Manager plays a crucial role in ensuring that programs and institutions adhere to the criteria set by accrediting bodies. This responsibility includes a thorough analysis of educational or professional standards, monitoring compliance, and implementing necessary improvements to meet evolving accreditation requirements.
  • Program Development: The creation and refinement of certification programs demands a detailed approach to align educational content with industry standards and regulatory needs. Continuous evaluation and adaptation of program components are essential to meet changing sector demands and learner expectations, making the Certification Manager central to maintaining the relevance and integrity of certification offerings.
  • Stakeholder Engagement: Engaging effectively with stakeholders such as certification bodies, industry experts, and training organizations is critical. Through fostering collaborative relationships, a Certification Manager can gather valuable insights and feedback, leading to the ongoing improvement and relevance of certification programs.
  • Compliance Monitoring: A Certification and Licensure Manager is responsible for ensuring that certification/licensure processes and procedures strictly follow relevant laws, standards, and regulations. This task involves regular audits, identifying areas of potential non-compliance, and taking corrective actions to mitigate risks and uphold certification integrity.
  • Data Analysis: By analyzing trends from certification/licensure exam results and participant feedback, Certification and Licensure Managers can pinpoint areas for enhancement in training programs and examination content. This analysis also helps in anticipating future industry needs, ensuring that certifications continue to offer value.

Compensation & Benefits:

Salaries for people entering this role typically fall between $74,700 and $87,100, commensurate with relevant experience and qualifications and in alignment with internal equity. This role is also eligible for performance pay based on organizational performance and goal attainment.
