Role Mission: The Student Enrollment Coordinator is responsible for owning the enrollment process to meet 100% campus enrollment and student persistence goals. This process includes, but is not limited to, fostering local interest, managing campus enrollment milestones, collaborating across campuses, and monitoring student and family persistence. They will raise awareness of IDEA Public Schools, promote their campus and available grades, secure applicants, and nurture protentional families through the persistence pipelineThe Student Enrollment Coordinator will also participate in all campus, regional and national operating mechanisms.

Compensation: 

 

  • Compensation for this role is set at an hourly rate ranging between $21.56 for 0 years of experienceand $26.95

Qualifications:

  • Education:  High School Diploma
  • Intimate knowledge of their campus community 
  • Ability to connect with parents and families around issues of education for their children.
  • Ability to work a rotating non-traditional schedule that includes evenings, weekends, and select holidays.
  • Valid Texas Driver’s License
  • Required work schedule: 9:00am-6:00pm Tuesday to Saturday with occasional Sundays
  • Experience in Sales

What You will DoAccountabilities:

 

Ensure campus enrollment targets are met by the 11th Day of School

  • Execute student recruitment strategies that target families with school-aged children for the assigned campus.
  • Attend and create community events, informational fairs to inform families and promote brand awareness of IDEA Public Schools.
  • Execute off-site presentations to daycares, housing authorities, community centers, youth groups, parent networking events, and other community organizations.
  • Participate in neighborhood block walks and door-to-door presentations in communities near IDEA campuses.
  • Participate in tabling events at conventions, festivals, parent networking events, retail establishments and initiate stop and talks.
  • Organize and conduct cold calling campaigns (phone banking, text messaging and emailing).
  • Collaborate across campuses within the region on recruitment events.
  • Assist parents in completing a paper or online application.
  • Host weekly campus tours.
  • Monitor quality of applications submitted and conduct internal audits to resolve issues in a timely manner.
  • Maintain and cultivate a solid wait list after lottery by providing communication and sustained recruitment efforts through application nurturing.
  • Initiate and maintain rolling enrollment efforts after the 11th day of school until state snapshot and beyond.
  • All other duties as assigned by the Student Recruitment and Enrollment Managers.

70% of applicants attend a campus tour event as per STREAM event module measured by the 10th day of school.

  • Establish recurring weekly campus tours dates by the first Monday of every month.
  • Send a "WELCOME” STREAM communication message to all new applicants every Friday.
  • Ensure all new applicants will receive a touchpoint (call, text, email, mail, etc.) asking them to follow the campus Facebook page.
  • Creating monthly recruitment plans towards targeted grade levels with open seats.
  • Monitor progress towards goals and make meaningful and timely adjustments to meet set benchmarks.
  • Developing a variety of marketing campaigns to prospective families.
  • Learn the intricacies of the IDEA Public Schools model to ensure all families know about IDEA’s program.
  • Monitor parent engagement throughout the recruiting year.

 

95% of students registered and re-registered by deadline (launching campus will not have re-registrations)

  • Manage the re-registration process by distributing communications and following up with families until 100% of families have responded.
  • Post-Lottery follow up with recruited and blindly selected families to offer their spot and secure their acceptance until achieving 100% acceptance.
  • Manage registration process by distributing communications, following up with families, and supporting the collection and input of registration documents until 100% registration is complete.
  • Develop a recapture campaign to approach families that had withdrawn throughout the school year to meet goal of 90% New Student Persistence
  • Assist current IDEA families that are relocating in their enrollment process to another IDEA campus.
  • Produce a year long application nurturing plan for potential families (weekly campus tours, welcome communication and building long lasting relationships).
  • Collaborate with other campus staff on recruitment and engagement events to greet and nurture relationships with potential families.
  • Team up with campus staff to conduct home visits to support families through the registration and re-registration process.
  • Work with data integrity around student documentation requests through registration and re-registration verification audits.
  • Ensure registration and re-registration compliance expectations are followed with fidelity to preserve and secure personal student information.

82% of new students attend a new family onboarding event as per STREAM Event Module measured by the end of the 10th day of school.

  • Oversee Welcome to IDEA orientation planning which includes logistics, production, content coordination, and attendance management to achieve 100% attendance.
  • Ensure all new families receive high-quality effective on-boarding from the time they apply with ongoing communications and invitation to campus tours.
  • Monitor and track parent engagement throughout the recruiting year.
  • Collaborate with other campus staff on recruitment and engagement events to greet and nurture relationships with new families.
  • Lead the planning execution of specific new student and parent interactions to help families get acclimated and integrated into the campus culture and expectations in a way that is inviting and engaging.
  • Partner with the Assistant Principal of Operations (APO) to ensure all new student on-boarding is completed and operational support is given at all new student and new parent events.

Campus meets an average A rating for enrollment audits per semester as conducted by the enrollment team.

  • Ensure rolling enrollment compliance throughout current school year.
  • Fill every open seat by following the waitlist order.
  • Work with data integrity regarding student documentation requests and submission accuracy through the registration and re-registration process.
  • Ensure registration and re-registration compliance expectations are followed with fidelity to preserve and secure personal student information.
  • Review the campus's applications nurturing process to ensure that potential families are provided with exceptional customer service.
