Mission:
Role Mission: The role of the Registrar – K-8th is to maintain K-8th student data and records across multiple campuses, both in order to ensure compliance with district and state reportable data audits. The Registrar – K-8th organizes all of the campus operation tasks with key stakeholders and executes campus operation processes that bind to our student information system as well as processing data related to student enrollment, transfers and withdrawals. This position reports to the Manager of Information Systems Management (MISM), who will serve as the direct manager, and the Director of Compliance. The school principal will serve as the dotted line manager for the Registrar – K-8th. The Registrar – K-8this expected to partner with the school principal.

Location:
This is a full-time on-site position located Jacksonville, Florida. Preference will be given to candidates who live in the Jacksonville, or who are willing to relocate.
Travel Expectations:
• Travel within the Region throughout the year as necessary.
• Travel to IDEA training events or step-back maybe required.
- Compensation for this role is set at an hourly rate ranging between $18.49 for 0 years of experience and $23.11.
- This role is also eligible for a performance bonus based on team performance and goal attainment.
- Paid Family Leave: Eligible staff may receive up to 8 weeks of paid leave for the birth or adoption of a child, based on their tenure with the organization and caregiver designation.
- Tuition Reimbursement: Staff members may apply for up to 50% of tuition paid toward a qualifying degree program, up to $5,250 maximum per year subject to manager discretion and budget availability.

What You’ll Do – Accountabilities
Essential Duties:
- Compliance and state reportable data entry
- Enrollment and attendance management
- Maintenance of student records
- 100% of Beginning of Year Systems and Processes are ready for FDOS
Additional Duties and Responsibilities:
Compliance and state reportable data entry
• Builds out the school’s master schedule on Focus and ensures that all required data entry
• Maintains the state/district student database system with proper coding/master scheduling to
effectively monitor and update information for the funding county cycles (FTE) that create school
budgets
• Ensures that all coding is entered into the student information system accurately and in a timely
manner to maximize funding
• Partners and consults with the correct stakeholders to ensure student schedules are correct
• Reviews all state reportable data and conducts any necessary data clean up to ensure
• Ensures that the school’s master schedule is complete at least two weeks prior to the start of
school; ensures that student schedules and rosters are finalized and printed by the first day of
school.
• Ensure compliance (to state and company requirements) reporting and record keeping,
Enrollment and attendance
• Paper attendance and student enrollment reconciliation processes solidified two weeks prior to
school
• Student registration verification is accurately completed by deadline
• Supports campus operations team in meeting enrollment goals by first week of school
• Ensures teachers enter daily attendance by the designated time; maintains accurate attendance
records in Focus; reports to school administration any gaps in attendance processes
• Owns the attendance process for Academy and College Prep students; communicates
attendance reporting to appropriate staff
• Documents all attendance changes and corrects attendance data by end of day
• Ensures all paper rosters are signed and dated
• Ensures all attendance report submissions are on time
Student Records
• Student records are requested from other districts within five days of the student’s enrollment
• All records requests from other schools/districts will be fulfilled within 5 days
• Upon receiving student records, ensures review of student records to ensure current
information, accuracy, and completeness with the state/district regulations and guidelines that
all required data is entered into Focus.
• Maintains all student records, attendance, grades, and student data and reviews student records
to ensure current information, accuracy, and completeness with the state/district regulations
and compliance guidelines.
• All FOCUS deadlines are met based on the Florida K-8th Registrar operating calendar
• Increase awareness and provide consistent communication with all key stakeholders
(FOCUS Data Quality Team – including Academic Counselor, ELL Coordinator, 504 Coordinator,
and Cafeteria Manager)
• Increase awareness with key stakeholders (including ELL Coordinator, 504 Coordinator, HQ SPED
Clerk and SPED teachers)
• Grade Verification, Re-registration, End of Year tasks, School and Section Enrollment Audits,
Transcripts are completed timely and accurately
• Assists in clerical and administrative functions to ensure the smooth operation of the school
• Maintains student transcripts and ensures their accuracy
100% of Beginning of Year Systems and Processes are ready for FDOS (First Day of School)
• Works closely with parents and business partners to ensure that parents are able to re-register
through appropriate channels
• Campus is operational one week before the first day of school
• Verify enrollment numbers prior to the daily enrollment call
• Ensures that all attendance, data entry, grade collection and data collecting processes are in
place and shared with all stakeholders by the first day of school
• Conducts professional development with teachers and staff at the beginning of the year (BOY)
training week on how to appropriately take attendance and enter data into Focus as well as how
substitutes should collect attendance data
