ABOUT THE ROLE:

Due to an internal promotion we have a highly coveted opening on our corporate legal team for an Assistant. In this role you will provide assistance to Vice President and General Counsel and others by maintaining efficient filing systems (both hard and soft copy), conducting and analyzing legal and general research facilitating set up of legal vendors and payment of legal invoices through DoeLegal/Ascent and Accounts Payable for the entire legal group, reviewing and analyzing basic contracts and providing feedback to the team.
ACCEPTABLE TRAINING AND EXPERIENCE
- Equivalent of associate’s degree and/or paralegal certificate preferable.
- Minimum of 4-5 years’ experience as a legal assistant or at executive assistant level.
- Must be highly organized, self-motivated, and able to handle multiple projects independently.
Maintain legal department files, being knowledgeable about file. Maintain and update file index for ease in locating files. Move non-active files to archives to make room for new files and keep accurate list of stored files. Search through files as necessary to locate pertinent information. Ensure continued compliance with company record retention policy.
Draft letters, agreements and other documents. Assist with formatting and proofreading of agreements and other documents into final form for signature. Assist attorney with review of basic contracts and provide analysis. Draft litigation hold memos for new litigation cases as requested.
Perform varied, complex legal clerical work requiring considerable judgment, initiative, and accuracy.
Create new matters in legal invoice payment system (DoeLegal/ASCEBNT), provide reports and research/resolve issues. Coordinate with A/P the setup of new legal vendors in SAP, submit invoices and resolve any payment issues that may arise.
File UCC Financing Statements or Amendments as requested and maintain schedule of all UCC filings to track expiration dates. Coordinate with functional groups to determine if renewals are necessary.
Work with Consumer Support to assist in resolving consumer issues and drafting appropriate general releases with attorney supervision.
Maintain current EEOC claim information and compile information for quarterly reports.
Periodically gather and compile information regarding consumer product recalls.
Assist attorney by coordinating with outside legal counsel and internal HR to facilitate the application or transfer process for employees with work visas, and other immigration matters.
Coordinate quarterly meetings of the Product Safety Committee, attend meetings, take notes and draft minutes.
Complete insurance request forms to obtain certificate of insurance as requested.
Perform legal research on various topics, summarize and report findings with backup material as appropriate. Must possess skill to look beyond the surface.
Maintain list of active contracts/agreements and flag dates for reminder of deadlines for renewal consideration, etc.
Experience with WebEx/webinar and video conferencing technologies.
Provide technical support to attorneys in department.
QUALIFICATIONS AND KSA’S FOR EMPLOYMENT
Ability to demonstrate particular attention to detail and ability to proofread accurately.
Ability to conduct legal and general research and perform independent legal analysis. Provide clear and concise conclusions explaining pertinent law and interpretations.
Ability to think critically and analyze legal issues from a number of perspectives.
Ability to be diligent in maintaining confidentiality of information and materials.
Solid knowledge of Excel and PowerPoint.
Solid knowledge of correct grammar and spelling.
Solid knowledge of internet and search/capture tools.
Expert knowledge of advanced Microsoft Word.
