This entry level role will provide assistance in Training, Recruiting, and Employee Record Management in addition to providing special project support as an integral member of a high performing HR team. This role is a contract opportunity to support during a maternity leave while concurrently building your resume with valuable, marketable skills.
Maintains file retention for all personnel, training records and information.
Maintains changes to all forms related to HR Department, updates electronic versions and coordinates paper-copy inventory.
Distributes employee recognition gifts. Coordinate company-wide distributions to all employees. Monitors inventory of gifts, pins and cards.
Responsible for administration support including, class registration, data entry into HRIS, communication, class confirmations, room reservations, greeting trainers and provide set-up support as needed.
Monitor class attendance, market classes.
Provide support for ESL sessions, including registrations and distributing progress reports.
Coordinate any off-site class registration for employees.
Assist with the Education Assistance and Education Milestone Programs.
Assist HDNA Corporate Training on nationwide programs.
Assist in facilitating Day 1 Orientation. Maintains orientation presentation, inventory of collateral stock in packets. Notifies appropriate internal departments (Security and Payroll) of new hire start dates. Audits new hire employee personnel files and disseminates information to appropriate internal departments.
Inputs job requisitions into ATS and assists in preparing job postings for internal and external advertising. Work with recruiter to schedule interviews. May assist in preparing job offers.
Coordinates pre-employment screenings. Serves as point of contact to receive results and notify hiring managers of those results. Reconciles monthly billings received from the providers.
Assists in the process of converting temporary employees to regular full-time employees. Prepares communication between supervisor, temporary employee, and staffing agency. Provides all required pre-employment information to the converting temporary employee.
Assists in the employee referral program.
Provides back-up support for the front desk/receptionist as requested.
Assists other members of the HR Team in completion of additional projects and assignments, as needed.
Basic knowledge of federal and state HR laws governing hiring and employment to aid in design and delivery of policy training.
Solid business communication skills, both oral and written. Must type at least 40wpm.
Solid knowledge of computer use and software such as Microsoft Office, Gmail, HRIS, ATS, and web-based applications.
Solid skill in prioritizing, multi-tasking and organization.
Skill in developing and maintaining strong interpersonal relationships with a variety of internal and external contacts at all levels.
Ability to demonstrate a high degree of self-motivation.
Ability to follow written and verbal directions.
Ability to work with limited supervision to complete assignments.
Ability to deal with confidential and highly sensitive information.
Ability to exhibit attention to detail.
Ability to write routine reports and correspondence.
Ability to feel comfortable conducting presentations before small and large groups of people.
Ability to display diplomacy, tact and composure along with utilizing empathetic listening skills when presented with stressful employee situations.
Ability to communicate complex information in a way that is easy to understand for a wide range of audiences with different levels of education, life experiences and understanding of English as a second language.
Acceptable Training and Experience includes HS diploma or equivalent. Bachelor’s degree preferred. Previous Human Resources administrative experience preferred.
