The Opportunity 

The Hult Boston campus is seeking an organized, customer service Campus Operations Manager to join our busy Boston campus. This role provides a high-level of customer service at the front desk while maintaining the smooth and efficient running of the campus. 

This is an exciting role and ideal for someone who is hands-on and eager to learn and develop. Reporting to the Director of Campus Operations, the Campus Operations Manager will lead our facilities to ensure that our campus meets all health and safety requirements and always ensure excellent standards of building presentation. Communication with colleagues, students, and external suppliers is effective and will also integrate with key campus departments, including Student Services, Career Development, and Academic teams, to ensure the highest levels of customer service to students, faculty, and staff alike while always providing a positive and professional first impression of the Hult Boston Campus. 

Responsibilities 

Responsibilities may include, but are not limited to: 

Front Desk 

  • Manage the front of house, ensuring a first-class reception service to students, staff, and visitors while maintaining high standards. This includes the management of one full-time staff member and 3-5 student interns. 
  • Establish and maintain effective working relationships with staff, students, visitors, and vendors. 
  • Work closely with the Student Services team on student-related queries to ensure a seamless student experience. 
  • Address student concerns politely and positively making every effort to resolve them efficiently and effectively. 
  • Develop, implement, and improve administrative processes, such as vendor management, filing systems, postal/courier services, and deliveries. 
  • Manage internal and external room booking requests, including room set-up arrangements and catering orders. 
  • Assist with the organization and coordination of staff events and incentives.
  • Establish and maintain credible, professional relationships with all campus community members and external vendors. 

Administrative 

  • Work with the Director of Campus Operations to maintain policies and procedures as they relate to facilities and campus management, such as: health and safety, emergency response, and staff on boarding. 
  • Manage and implement all building-related programs and procedures that maintain a high standard of safety, cleanliness, and organization. 
  • Assist the Director of Campus Operations with budget and invoice management. 
  • Manage detailed building checks daily, weekly, and monthly to identify and resolve maintenance, cleaning, and health and safety issues. 
  • Manage the ID system access and metrics across campus buildings. 
  • Ensure all stationary stocks are maintained and goods are ordered as necessary, subject to approval and in accordance with purchasing and stock control procedures. 
  • Work with the Director of Campus Operations to manage the cleaning, security, and maintenance contracts and contractor relationships. 
  • Respond to urgent maintenance requests as needed.
  • This role may serve as a member of the Campus Emergency Team (CET) and in the emergency on-call rotation. 

Student Experience 

  • Assist the Student Services and Events teams with coordinating on-campus events and arranging for additional support staff when necessary. 
  • Acquire a general well-rounded knowledge of campus operations. 
  • Manage pre-arrival data for campus during student intake/orientation. 
  • Resolve issues and conflicts of medium complexity involving stakeholders and escalate to appropriate level when required. 
  • Assess a variety of situations and provide clarity to team and stakeholders. 

Qualifications 

  • Bachelor’s degree or related qualifications with 3+ years of previous work experience, preferably in a higher education environment 

Work experience, skills, and competencies 

  • Strong interpersonal, verbal, and written communication skills, including excellent face-to-face and telephone communicator 
  • Commitment to the highest standards of quality and customer service 
  • Excellent organizational and administrative skills 
  • Strong computer skills including Microsoft Word, Excel, and PowerPoint 
  • Flexibility to respond to a variety of work situations and demands 
  • Ability to work independently and as part of a team 
  • Ability to prioritize and handle multiple tasks and deadlines 
  • Proactive and creative approach to problem solving and a positive, can-do attitude 
  • First-rate attention to detail 
  • Ability to maintain composure in a fast-paced environment 
  • Ability to interact with a culturally and ethnically diverse population of students, faculty, and staff with diplomacy 
  • Willingness and ability to work outside of traditional business hours and occasional weekends 
  • Office or facilities experience
  • Health and safety background 
  • Industry knowledge of suppliers and service providers in property maintenance
