A key member of the marketing team, this role will play a critical administrative and organizational role, while also providing graphic design and event management support for the company’s multiple departments (leasing, operations, and corporate).

What You’ll Do

Administrative/Operational

  • Manage contracting and proposal paperwork (NDAs, MSAs, POs and invoicing)
  • Attend vendor meetings, author/distribute meeting notes and assist with follow-up items
  • Provide basic, back-up design in support of graphic designer
  • Coordinate internal and external meetings
  • Maintain existing digital asset management system
  • Contract, schedule and manage paperwork with photographers and property management
  • Manage project-related documentation, and ensure all needed materials are current and properly filed/stored
  • Assist with swag needs

Event Management Support

  • Provide general administrative and organizational duties for corporate, leasing and property management events
  • Assist in sourcing and negotiating with event planners, venues and/or other vendors
  • Manage contracts and paperwork
  • Track budgets
  • Attend and supervise event load-in, load-out and day-of activities
  • Coordinate internal event administrative support team
  • Set and attend meeting with internal stakeholders, assisting with required follow-up
  • May require travel to offsite meetings at Studios locations in Hollywood and throughout the HPP portfolio (Silicon Valley, San Francisco, Seattle, Vancouver)

What You’ll Need

  • Bachelor’s degree required in Graphic Design, Digital Media or Advertising/Communications
  • Expert knowledge of Microsoft Office and Publisher required
  • Highly proactive, organized and detail oriented
  • Ability to prioritize workload and juggle deadlines/projects
