Description

The Provost’s Office is seeking a talented, optimistic, detail-oriented, and energetic colleague to support the Provost and three Deans, ensuring effective operations and functions. The Sr. Office Coordinator and Research Assistant will manage the schedules of the Provost and Deans, plan and execute events and programs for the Provost’s Office and undertake complex projects with superior attention to detail. The Sr. Office Coordinator and Research Assistant will have demonstrated excellent written and spoken communications skills as well as diplomacy, tact, and strong professional judgment. The Sr. Office Coordinator and Research Assistant will handle confidential and sensitive information as part of the Provost’s Office team and will work collaboratively with colleagues and partners to ensure effective support and timely action.
 
 
Major Areas of Responsibility
 
Administration
  • Provides direct administrative support to the Provost as well as the Dean of Faculty, Dean of Faculty Development, and Dean of Education & Academic Experience;
  • Participate as a member of the Provost staff team including scheduling and attending all meetings, setting agendas, preparing meeting materials, and monitoring progress on goals.
  • Completes a broad variety of administrative and operational tasks related to Academic Affairs, including management of an active calendar of appointments; composes and prepares correspondence that may be confidential; arranges detailed travel plans and itineraries, and prepares and compiles agendas and documents for meetings.
  • Receives, screens, all manner of inquiries to the Provost and Dean. Research, prioritize, and follow up on issues and concerns, including those of a sensitive or confidential nature. Demonstrates appropriate course of action, referral, or response. Work closely and effectively with the Provost/Dean to keep them well informed of upcoming commitments and responsibilities, following up as appropriate.
  • Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures.
  • Directs logistics of events and retreats including event arrangements; event programs and promotional materials; and publicity.
  • Participates as needed in special department projects.
  • Demonstrates advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, and establishing personal networks.
 
Communications, Partnerships, Outreach
  • Communicates, interacts with and supports effective partnerships with peers, supervisors and colleagues; and liaises with other administrative staff, academic colleagues and students; liaises with departments across Holy Cross.
  • Represents the Provost’s Office via phone, email, and written correspondence and by attending events and lectures.
  • Liaises with partner institutions, other institutions, external agencies, government departments and prospective students.
  • Responds to phone calls and emails from parents, alumni and benefactors on behalf of the Provost/Dean of the College.
 
   Research Assistance
  • Provides research and project support to the Provost as well as the Dean of Faculty, Dean of Faculty Development, and Dean of Education & Academic Experience including:
  • Conduct benchmarking studies and literature reviews to support research initiatives.
  • Perform data analysis and manage datasets to ensure accuracy and integrity.
  • Synthesize and summarize research findings to inform project development and decision-making.
  • Act as lead for operational special projects, including execution from planning to completion.
  • Utilized project management tools and methodologies to coordinate tasks and track progress.
 
Minimum Qualifications
  • Bachelor’s Degree required.
  • demonstrated success working in a professional role, ideally within higher education or a similar field.
  • demonstrated proficiency with technologies including: Google Suite, Zoom Suite, project management and productivity platforms.
  • demonstrable proficiency with professional correspondence, report preparation, proofreading and copyediting, financial record keeping, information management.
  • event planning experience preferred.
