The Company:
Hill+Knowlton Strategies, the nation’s leading strategic communications consultancy is looking for a positive, energetic, service-oriented Office Administrator who will thrive in a collaborative, diverse, fast-paced, and hybrid environment. The successful applicant will support office operations in the Ottawa office and provide some basic administrative support to others on the team. 

The Location:
This position is based in the nation’s capital, Ottawa Ontario. This is the perfect place to experience some of the country’s best attractions, celebrations, and flavours in one great city.
Located downtown, with great public transportation, great area for getting lunch, etc. 

Some of your responsibilities:
Reception duties – Greeting and signing in clients/visitors when they arrive at the office
Office Hospitality (In-person meetings or events, Client and Internal)
Entering timesheets
Submitting job code requests
Initiating vendor set ups
Tech day-to-day support
Maintaining Kitchen/Office supplies and equipment
Ensuring the office remains clean and organized
Security clearance support
Executive and Team support (scheduling, expenses, booking travel)
Financial data entry
New hire onboarding support
Internal list and database management
Coordinating mail/couriers
Joint Workplace Health & Safety Committee

Some of our requirements:
Working in-person at the office 3-5 days a week
Bilingualism (English and French) is considered a key asset
2 years’ experience providing exceptional service as an Administrative Assistant
Hospitality/Client Service industry experience is a key asset
Experience providing technical support is preferred
Solid experience with office management systems - MS Office, OneDrive, and Teams
Demonstrated ability to prioritize tasks and work independently with little supervision
Proactive service orientation with the ability to take ownership of areas of responsibility
Team player with a creative flair, positive and energetic attitude with a professional approach
Strong attention to detail
Proven organizational and time management skills to meet internal deadlines
Strong communication skills (via phone, email, and in-person)
An interest in internal communications and being engaged in workplace culture
First Aid Training and Certification is considered an asset
