Hill+Knowlton Strategies is seeking a positive, energetic, service-oriented, and experienced Office Manager who will thrive in a collaborative, diverse, fast-paced, and hybrid environment. Supporting Office Operations and the General Manager of our dynamic Toronto office, the successful applicant will also provide some basic administrative support to other members of the firm’s executive team. This role will have the opportunity to contribute to broader organizational activities such as staff meetings and internal committees that foster positive company culture and team building.

Here’s what you’d be doing:

  • Managing all aspects of the office calendar, coordinating office meetings and special events.
  • Co-Chairing the Joint Health and Safety Committee and working with People + Culture team to update and maintain policies and activities.
  • Oversee and manage Office Operations and Procedures, through third party vendors, including Administration, Budgets, Security, and IT.
  • Managing office vendors and service providers, ensuring timely payment of invoices.
  • Supervising the activities of the Office Coordinators.
  • Provide support on corporate projects, collaborating with local teams on assigned plans.
  • Preparing high-quality documents including financial reports, presentations, proposals.
  • Assist the General Manager in the performance of their duties, including driving office culture and financial accountability.

What you’ll need to get here:

  • 5 to 8 years of experience providing executive support to senior management, particularly in operational support function
  • Proven ability to work independently with little supervision
  • A natural problem solver
  • Experience exercising discretion and confidentiality with sensitive company information
  • Demonstrated ability to prioritize tasks and manage multiple online calendars
  • Proven organizational and time management skills to meet internal deadlines
  • Strong communication skills (via phone, email, and in-person)
  • Proactive service orientation with the ability to take ownership of areas of responsibility
  • Solid experience with office management systems - MS Office, OneDrive, and Teams
  • Flexibility with regard to working hours in order to meet deadlines
  • An interest in internal communications and being engaged in workplace culture
