Role Description
 
We are currently seeking a self-motivated Admin Assistant / Receptionist to join the team at our San Jose office. In this position, you will play a vital role in providing essential administrative support to the site while creating a professional and welcoming environment.
 
Location
On-site – This position will be based in San Jose, CA.
 
What you will be doing
  • Set up and maintains office organization and assist with a full range of administrative duties, including document preparation, filing, ordering office supplies, catering & other purchasing requests. Track and maintain current information on open purchases & processes.
  • Provide front desk reception tasks including greeting, and directing visitors and vendors, monitoring the visitor log, and issuing visitor & employee badges. Provide phone support in answering and routing incoming calls as needed.
  • Schedule and coordinate details for appointments, meetings, for assigned teams. Maintain organization of assigned conference rooms and ensure supplies are available as needed. 
  • Organize catering for internal team meetings and company events.
  • Conduct regular inspections of shared areas (reception, conference rooms, pantry, etc.) to ensure tidiness and functionality.
  • Accurately prepare & distribute correspondence & reports as required. 
  • Provide mail support by receiving, sorting, and distributing incoming mail and packages. Prepare outgoing mail and packages including pick-up and tracking as needed. Arrange for couriers when needed working with shipping & receiving.
  • Keep professional and technical knowledge current by establishing connections and communicating with co-workers & vendors.
  • Utilize continuous improvement methodologies to ensure the most efficient operations, processes, and activities in support of the role.
 
What you will need to succeed
 
  • High School diploma or equivalent. Associate degree preferred.
  • Minimum 4+ years of administrative support experience, preferably in the Electronics, communication or computer business.
  • Proficiency or certification with Microsoft Office software applications.
  • Experience working closely with confidential and proprietary information.
  • Strong professional team player, with effective collaboration, organizational and relationship-building skills. 
  • Demonstrated track record of integrity and dependability.
  • Ability to meet deadlines in a fast-paced environment with multiple and sometimes changing priorities, independently and effectively.
  • Effective written & verbal communication skills
  • Effective telephone & online communication skills.
  • Proven problem solving & time management skills.
  • Customer centric thinking & action.
 
Pay & Benefits
 
For this role, the estimated base salary range is between $55,000 - $60,000. The actual base salary will vary based on various factors, including market, location, and individual qualifications objectively assessed during the interview process.
