Job Description and Performance Standards
Title: Medical Office Assistant
Department: Designated HPG Practice
Reports To: Practice Manager
Shift: 8am -8pm (days vary Mon-Fri and some weekends 9am-3pm)
Hamilton Physician Group (“HPG”) is a multi-subspecialty physician group practice and controlled affiliate of Hamilton Medical Center, Inc., (“HMC”). HMC is a wholly owned subsidiary of Hamilton Healthcare System, Inc. (“HHCS”). HPG was created as a responsive, scalable and adaptable physician enterprise to meet the long-term community need for medical specialties within the Dalton, Georgia and surrounding communities that for various reason may not be optimally provided for or sustainable by the independent medical staff. Such medical services may include without limitation, primary care, cardiology, convenient care, spine and others.
Assists in examination and treatment of patients under the direction of a physician and/or nurse practitioner, including preparing patients to be seen by the physician and/or nurse practitioner, and perform specific procedures with appropriate orientation and supervision. Assists with patient phone calls, prescription refills, referrals, and prior authorizations. Interviews patients, measures vital signs (i.e. pulse rate, temperature, blood pressure, weight and height) and records information in patients’ charts. May be required to collect blood samples, tissue or other laboratory specimens and prepare them for testing. Explains treatment procedures, medications, diets and physician’s instructions to patients. Prepares treatment rooms for patient examinations, keeping the rooms neat and clean. Familiar with standard concepts, practices and procedures related to the practice. Follows standard procedures and/or written instructions to perform job duties. Assists with business, operations, clerical, patient billing, medical records management, reception, and patient scheduling as needed. Demonstrates teamwork to ensure achievement of team, individual, and corporate goals. Provides support to team members and performs other duties are required.
Education: High school graduate or equivalent required. Certificate from accredited or governed Medical Office Assistant Program preferred.
Experience: 3 years experience in a clinical setting.
NOTE: During an acquisition, the organization’s medical assistant associates must have two years of on the job training, if not a graduate of a formal program.
Skills: Good oral, written and interpersonal communication skills to effectively interact with internal and external customers. Commitment to providing excellent customer service, ability to remain calm and courteous when handling difficult calls and requests. Ability to maintain confidentiality regarding all documents and communications. Ability to interpret and follow oral documented procedures, instructions, laws, and policies. Ability to project a positive and professional image on behalf of the organization. Prior experience in customer service and/or performing administrative duties a plus. Intermediate proficiency level using PC and related programs such as, Microsoft Word, Excel & PowerPoint, Outlook/email and Internet. Ability to perform data entry with accuracy speed and meticulous attention to detail. Knowledge of and ability to perform basic math calculations.
Physical, Mental, Environmental and Working Conditions
Works in outpatient clinic and acute health care setting with adult, neonates, pediatric, adolescents and geriatric patients with minor health related medical problems. Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items up to 50 pounds. Requires corrected vision and hearing to normal range. Requires working under stressful conditions. Requires exposure to communicable diseases or body fluids.
