Contracts Operations Assistant
TITLE: Contracts Operations Assistant / New York City (hybrid)

SUMMARY:
The Contracts Operations Assistant will have direct responsibility in fully executing and maintaining contracts data in Title Management (TM) and in the Contracts-Royalties Publishing Database System (PDS), including the scanning of documents into the Contracts Portal, and will assist in this task across all divisions. The Contracts Operations Assistant will submit advance and fee payment requests. The person will handle copyright registration of primary works for all imprints, including mailing deposit copies. The Contracts Operations Assistant will also be responsible for providing administrative assistance to the Contract Operations Division. This job offers an excellent introduction to the business side of publishing.
ESSENTIAL DUTIES AND RESPONSIBLITIES:
- Fully executing and maintaining contracts data in TM and PDS (including scanning documents into the Contracts Portal) assisting in this task for all divisions
- Submitting advance and fee payment requests to Royalties and Cost Accounting to meet weekly deadlines
- Submitting print and digital copyright registration applications for all imprints
- Drafting direction to pay and assignment amendments
- Processing reversion requests
- Reviewing and/or drafting Subsidiary Rights agreements
- Providing department administrative support, as needed
- Performing other duties as assigned by the Legal and Contracts Department
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
Excellent computer skills are required (MS Outlook, Word, Excel, Power Point, databases)
Highly organized, good at prioritizing and adaptable
Attentive to detail with ability and interest in legal documents
Self-starter, able to take ownership of job responsibilities and manage work time efficiently
Experience in interacting with publishing databases preferred
