    Paralegal (Legal and Contract Compliance Assistant)

What will you do? To manage the contract management system and oversee the entire contract lifecycle, assist legal team with preparing legal documentation, conduct research and training to support legal team  
 
Key Responsibilities: 
The primary responsibilities and main duties of the Paralegal (Legal and Contract Compliance Administrator) role include but are not limited to the following, and may change from time to time: 
 
  • Management of the contract life cycle: 
    • Tracking the entire contract process, from creation to post-signing analysis. 
    • Managing timelines and notifying business teams about contract expiration, renewals, notice periods, amendments, price adjustments, annual incentives, and change orders. 
    • Follow-up on outstanding contracts (sitting with Business or Customers). 
    • Building and maintaining a comprehensive contract repository. 
    • Ensuring that contracts are reviewed, approved, and signed by authorized parties. 
    • Ensuring that business teams are aware of and take steps to receive all benefits specified in the contract and that document retention processes, systems, and protocols are followed.  
    • Collaborating with our in-house Legal team to suggest improvements to templates, processes, operating procedures, and reporting. 
  • Reporting: 
    • Provide various reports to the in-house Legal team and Business units. 
    • Tailoring reports to meet the needs of internal stakeholders. 
    • Contract training: 
      • Providing contract management training for users. 
      • Troubleshooting training on the contract management system. 
      • Providing contracts template training to the Business. 
    • Compliance: 
      • Obtaining data relating to component-level compliance matters, including United States-Mexico-Canada Agreement certifications and Buy America certifications, as necessary and with the supervision of U.S. legal team. 
      • Providing of support to the in-house Legal team on compliance and regulatory issues. 
      • Assistance with the review of Know-Your-Customer (KYC)/ due diligence documents as required. 
    • General: 
      • Assist the Business teams and Legal Team with negotiations, documentation, drafting (where permitted and required), administration, tracking and compliance associated with supplier and vendor contract. 
    Qualifications And Experience: 
    • Paralegal Diploma or relevant qualification from an accredited institution. 
    • 4 – 7 years Legal/contract administration experience. 
    • 4 years’ experience using a contract management system. 
    • Highly beneficial if the candidate has - Cross-border and US contracting experience. 
    • Experience using a contract management system. 
     
    Required skill & Competencies: 
    • Technical and Analytical skills – Excel, MC Office, MS Teams. 
    • Strong project management skills. 
    • Critical thinking skills and complex problem-solving skills. 
    • Communication: Advanced written and oral skills in English. 
    • Advanced experience with email communications to senior management and third-party contract parties. 
    • Ability to collaborate with both legal and non-legal colleagues in SA and the U.S.  
    • Comfortable in a fast-paced environment with ability to manage multiple priorities simultaneously.  
    • Highest integrity, strong work ethic, great attitude, and willingness to learn. 
    • Ability to work independently, meet timelines and willingness to be available during U.S. business hours.
