As GumGum's Executive Assistant to the COO/President, you not only support an executive, but anticipate, plan, and execute his goals and vision. You will be responsible for a variety of tasks that range from basic (traditional administrative functions) to strategic (smartly scheduling meetings and travel, reacting with appropriate urgency to situations and events, communicating proactively, not reactively, etc).You’re a perfect fit if you learn fast, can work with little or no supervision, approach work with vigor and determination, can multi-task like a pro, and can anticipate a need before it arises.

Responsibilities

  • Provide administrative support for the COO/President. This will include complete calendar, schedule, and email management, as well as domestic and international travel logistics, trip preparation, and expense reporting
  • Research and compile briefing documents / agendas in preparation for meetings and conferences
  • Develop and maintain an understanding of what is critical to the business, allowing you to make the appropriate decisions, which impact the COO/President’s time. You’ll also regularly communicate what and how you’re prioritizing, with the goal of staying in-line with the COO/President’s priorities.
  • Keep a pulse on what is happening throughout the company and with clients, which gives you the ability to identify issues that need escalation. You use this information within your constant communication with the COO/President, ensuring he is well-informed.
  • Provide solid judgment in dealing with confidential information, ensuring accurate and timely distribution of information

What You’ll Need

  • Bachelor’s Degree
  • Years of experience directly supporting an executive
  • Strong Excel and PowerPoint skills
  • Start-up experience preferred
  • Excellent organizational skills with a sense of urgency to follow through
  • Tenacity, drive, and work ethic
  • Enthusiasm with a positive outlook and “can-do” attitude
  • Professional attitude with the ability to comfortably communicate with internal and external partners
  • Flexibility and adaptability in an ever changing environment
  • Willing to work extended hours as needed
  • Strong written and verbal communications skills, including proficiency with timely consolidation and distribution of reports, meeting agendas, minutes, action items, etc
